Your Role

Responsibility of the Administration Assitant is: (i) to ensure the correct handling / archive of all legal documents (ii) to support all Functional / Business Units in administrative tasks (iii) to represent Kuehne + Nagel according to the respective guidelines The position of Administrtive Assistante will take place in those countries where no BF exists.

Your Responsibilities

·  Visitors Welcome, complete registration and safety introduction according to the Kuehne + Nagel Guidelines 
·   Receipt and indexing of incoming invoices from Suppliers and employees expenses reports
·  Receiving of Payments or proof of payments followed by the release of documents and daily deposit of  cheques in our bank
·  Handling of outgoing cheques for supplier and employees
·  Organizing and instruction to 3rd party messengers 
·  Correct handling of incoming and outgoing mails / courier
·  Coordination of Facility Management
·  Ensure the correct archive and maintenance according to the local KN-guidelines as well as to the local requirements
·  Incoming and outgoing invoices - Receipts Operational Documentso Tax filing, payment proof, certificate of retained Tax - Proof of utility payments - Answer the phone, identify phone calls, and transfer them to the responsible departments / employee. 
·  In the case of the department / employee is not available,  to carry the messages and adequately inform to the responsible person. 
·  Sending and receiving documents between office, customers, suppliers, departments, employees, etc.o Support the all the administrative related functions in the office (purchasing, cleaning company, etc.) and also support the HR department with the administrative requests that may rise.

Your Skills and Experiences

·  Organized
·  Very good relationships manage
·  Experience of Minimum 2 years in similar positions
·  Graduation in area and intermediate english will be considered as differential
