Role Mission

The Client Services team is an internal hub that collaborates cross-functionally with corporate departments and stores to ensure a 360-degree omni-channel client experience.  The Receptionist will serve as the welcome agent of our office, and support for all office projects. This individual will handle all aspects of organization, providing office support for all departments and assisting the Client Engagement Manager             

Key Accountabilities

·  Support Director of Client Services in executing projects and activates in the region, including in line with Worldwide directives;
·  Coordinating schedules, weekly meetings and providing status reports for both internal & outside attendees (executive and management meetings, seasonal retailer, and sales meetings, etc.) Maintain schedules for special events and meetings;
·  Coordinate all aspects of internal and external meetings/team trainings, including ordering and setup of catering, hotel, entertainment, room setup and other needs as requested; create agenda and recap reports for distribution;
·  Organize and plan department functions (ex. office meetings, holiday party);
·  Serve as the point person/liaison for tasks such as office maintenance and communication with facilities, mailings, ordering supplies and equipment, distributing mail, processing invoices, running errands, etc;
·  Maintain office space: equipment, office supplies, cleaning services, postage, express mail, security, communication with corporate partners;
·  Be the point person for relationships with office vendors and service providers;
·  Partner with Finance and Accounting on invoice processing, company card program, travel reimbursement program, and minor budget concern;
·  Be the first point of contact for all visitors; create a welcoming atmosphere for guests and team;
·  Process monthly, detailed expense reports for Director of Client Services and other partners as business needs requires;
·  Receive and distribute all packages and mail;

Job Requirements

·  Bachelor’s Degree with at least 2 + years’ experience working in the retail or ecommerce industry;
·  Attention to detail. Administration background preferred;
·  Proficiency in Microsoft Office; Excel; Powerpoint and Outlook;
·  Appreciation and understanding of the luxury fashion industry ;
·  Ability to multi-task and handle multiple projects in a fast-paced environment;
·  Strong written and verbal skills;
