Transport Coordinator

Integrated Facilities Management

·  Ensure routing is done keeping the key factors like cost, utilization, no duplication of routes and deployment of routes are shared equally (Short, Medium and Log routes) to the vendors according to the agreed fleet size.
·  Prepare the vehicle arrival / departure report regularly and collect the trip sheets from vendor supervisors
·  In case of any cab has performed duty due to device issues to be cleared on day to day basis with appropriate reason
·  Ensure routing are planned considering  the travel time is maintained ( Upto 90 mts for a location within the radius of 30km from relevant facility / travel time is exclusive of 15mts buffer time i.e 15mts prior / after shift start / end time.
·  Lady employee should not be first pickup or last drop between 19:30Hto 05:00hrs if so mentioned prominently on the route sheet as “Escort required” and Ensure last lady employee drop verification is successful on MIS Portal.
·  All the mandatory compliance documents like insurance/ pollution certificate /FC/ vehicle maintenance papers to be filed and updated on MIS portal and ensure diligent follow up at the time of renewals.
·  Ensure Generic mail box mails are replied on time for both facilities are replied on time.
·  Receive and coordinate action on all adhoc / special requests with operation team including any medical emergencies with necessary approvals in place.
·  Ensure vendor supervisors checks all schedule vehicles for logouts are available in the premises 15mts prior to logout time for timely departure of Cads.
·  Ensure on time arrival greater than or equal to 95% which is linked  to on time departure of the vehicles for pickup & on time departure of the vehicles during the logouts.
·  Drop coordinator must pull out any cancellation after the cut off time for logouts and make the changes accordingly in the MIS portal before generating the routes for that particular Logout.
·  Arrange a replacement cab in case of any cab breakdown during drop or pickup and timely update the employees about the alternative arrangements being carried out.
·  Conduct surprise checks to ensure Cabs are clean / A/c Working / Driver is with uniform and levy penalties as per the contractual terms.
·  Vehicle Tracking assigned to the Sales team and Airport transfers without any lapses and updating the tracker.
·  Update and maintain employee data base simultaneously w.r.t any change in address / contact details.
·  Drop coordinators should ensure both the driver and the person seated in front to wear the seat belt before the cab leaves the premises.
·  Ensure Intra Shuttle Service Operations are planned and departed on time.
·  Identify areas for reducing costs and improving the efficiency and utilization of the Transport fleet.
·  Reduction in Transport Expenses against the target set.
·  Client Satisfaction and  Zero pending issues/mails at end of shifts
·  No Cab shortage in schedule logouts.
·  Accuracy in data management.
·  Nil exceptions in maintaining the relevant updating of records.
·  Ensure OTA and Utilization is intact with the Client.
·  No Duplication / Splitting of routes.

·  Should be able to work in rotational shifts including weekends  W/O will be provided either Saturday or Sunday  ,
