POSITION OVERVIEW

The Purchasing Assistant is a collaborative team supporter and a member of the Finance & Accounting team for the account to provide world-class operational service delivery to the client’s portfolio and customers.  A clear communicator both verbal and written, organized with effective time management skills, demonstrating a willingness to learn and adapt, with the highest standards of behaviour, collaborative manner and work ethic.  Candidate must have the proven ability to work without direct day-to-day supervision.  Support the team to ensure client will receive the highest level of operational performance. This is a fixed-term position ending on November 1, 2019.

RESPONSIBILITIES

·  Create and manage purchase orders and monitor status of recurring accounts payable obligations, including goods receipts in support of the finance & accounting, sourcing and facility management teams (operations).
·  Initiate vendor set up based on requests received.  Ensure WO system is synchronized for newly created service providers.
·  Maintain orderly and accurate files to comply with audit standards, including, but not limited to accounts payable (purchase orders, goods receipts), and miscellaneous vendor/administrative files.
·  Accountable for the acurracy and timely updates to all systems data utilized for the account process, procedures and metrics supporting IFM.
·  Support the finance & accounting team with month-end operating responsibilities (accruals, journal entries, analysis, Year-end requirements) and the preparation of various supplementary schedules (service receipt reviews/non-vouched reconciliations, info requests (Sourcing), etc.)
·  Answer vendor invoicing questions and coordinate with JLL operations and accounting to assure timely invoice processing and payment. 
·  Communicate in a clear and concise manner both verbally and in written documentation.  Ensure accuracy via proofreading and editing documents.
·  Ensure high quality work output and accuracy.  Coordinate work efficiently.  Meet assigned deadlines.
·  Seek continuous improvements in the areas of process efficiencies and controls adherence, enabling savings & value while minimizing risks to the organization 
·  Support the finance & accounting and facility management teams to achieve the highest level KPI performance targets.
·  Assist with budget and forecast preparation. Provide variance analysis of actuals to budget and forecast value as required
·  Supports requests associated with JLL management, operational and financial audits
·  Demonstrate willingness and ability to develop new skills by assuming additional projects and tasks outside of normal responsibilities
·  Perform additional ad-hoc tasks, job duties as requested.

·  Superior customer service skills and orientation
·  Fully versed in Microsoft Office software, including superior Microsoft Excel skills
·  Knowledge of real estate, and accounting helpful

·  Ability to plan and manage work under time constraints
·  Ability to perform and collaborate as both a Team Leader and a Team Member
·  Ability to manage changing priorities
·  Ability to work without direct day-to-day supervision
