PA and Network Administrator - Queensgate Shopping Centre, Peterborough

PA Specification:                                                                                                                  

·  Direct support to Senior Management Team (SMT)
·  Admin support for Management Team where required
·  Time Management - Ability to manage time well and be self-motivated, without direct supervision
·  Communication - Able to provide ongoing input to all teams through thoughtful and detailed information
·  Teamwork - Able to work in a team atmosphere, providing support to other departments as necessary
·  Organisation - Ability to maintain an organised workspace/office
·  Customer Service - Has the interpersonal skills to provide good service to customers, contractors, vendors, and clients.  Has friendly and helpful attitude

Job Description:                                                                                                                      

·  Dealing with every aspect of support including diary management, email management, first point of contact for clients internal and external
·  Primary support to the Centre Director & Assistant Centre Director organising diary and emails (keep abreast of leave booked to avoid double booking of SMT)
·  Maintain confidentiality
·  Prepare and submit expense reports for self and SMT – if required
·  Arrange travel and accommodation in compliance with JLL policies and procedures (Concur System) for SMT
·  Set office standard for compliance with company minimum standards, policies and procedures.
·  Produce correspondence
·  Provide admin support to Reception team for Conference Room bookings and management of Conference Room Diaries
·  Maintain Duty Manager and Emergency Procedures Files
·  Maintain emergency notification systems updates
·  Client & QCA Report production, collation and distribution – Monthly Dashboard, Monthly Report and Quarterly Reports.
·  Presentations – (All Team Brief – monthly, maintain Staff Lounge Presentation (weekly)) and any other presentations pulled together as required
·  Meeting Minutes
·  Coordinate office moves
·  Administrative support to integrated contract teams
·  Budget management of IT Budget
·  Management of and raising PO’s annually for Contracts under remit of PA/Network Administrator
·  Maintain Asset Register, Fit for Sale & Contract Schedules – diarising due dates for all relevant personnel
·  New Starter Packs
·  Administration and Management of Display Screen Equipment Assessments
·  Ownership of GDPR across all admin functions
·  Ownership and maintenance of JLL Training Matrix for all JLL employees
·  Ownership and maintenance of Sharepoint Team Sites
·  Attend any training and development courses as necessary or advised JLL requirements
