Facilities Coordinator, Singapore

Integrated Facilities Management

What this job involves:

Providing onsite support

You will be the upper facilities management’s trusted right hand on all facilities-related activities. You’ll do this by

Facilities Operation

·  Assist in the implementation of the energy management program when required.
·  Assist & monitor to ensure all building procedures and performance measures are always maintained.
·  Assist with the monitoring of the Planned Maintenance Program and ensure the vendor perform and carry out all services as per schedule.
·  Assist the Management Team with the coordination of Churn and other relocations activities as required.
·  Ensure all Reactive Maintenance is completed as per the agreed timeframes.
·  Ensure all Finance Management requirements are completed in a timely and accurate manner.
·  Co-ordinate and arrange meeting room request
·  Oversee receptionist & courier services.
·  Report to site when required during off days to support the team.
·  Assist in building Annual power down maintenance.
·  Perform daily checks on office areas and meeting rooms. Follow up corrective action accordingly.
·  Conducting monthly site Cleaning Audits and monthly site Inspection with cleaning supervisor
·  Follow up on HelpNow ticket.  
·  Assign seat for new hire and tracking, maintain/arrangement of cubicle name tagging of offices and allocation of personal lockers for flexi staff, including arrangement for duplication of keys and other requests.
·  Conduct Monthly meeting with Cleaning Supervisor
·  Conduct quarterly space audits.
·  Ensure good tracking of carpark application and termination of season parking for staff and liaise with building management.
·  Coordinate with vendors to ensure timely submission of invoices & submit to finance for payment process.
·  Provide support to Facilities Manager for all initiatives, process implementation, reports, and project-related matters when required.
·  Responsible for the preparation & raising of POR when required.
·  Ordering & maintaining record for all office supplies and keeping stock records of these items

Reporting:

·  Assist Facilities Manager on monthly Facility walk through report
·  Assist Facilities Manager on Planned Preventive Maintenance Report.
·  Assist Facilities Manager on Help Desk Tracker report.

Training:

Actively participate in all planned training activities
