Job description


·  Assistant Facilities Manager
·  Integrated Facilities Management

·  What this job involves-
·  Manage offsite record management operations including documents collection & retrieval
·  Review and spot-check your areas of responsibility to ensure that suppliers/service providers are meeting contractual obligations to the client.
·  Ensure detailed floor inspections on a routine basis.
·  Monitor the Help Desk system as it effects your area & ensure that rectification works are recorded & action-ed in a timely manner
·  Ensure your aspects of the working environment meet all requisite Standards.
·  Assist the Facility Manager to ensure the smooth running of meetings &/or events 
·  Assist with Business Unit relocations or ‘ad hoc’ projects.
·  Assist with critical out-of-hours issues & participate as a key team member in response to emergency situations
·  Provide backup support for the Facility Manager in times of absence.
·  Clearly document & communicate all client expectations to the balance of the FM team
·  Work collaboratively with colleagues both within the BACI account & in the wider Jones Lang LaSalle network

·  Ensure general administrative activities under your control are conducted in a timely and efficient manner
·  Assist with any other duties as assigned by the Facility Manager or Senior Manager on a “need be” basis.
·  Periodic Vendor meetings
·  Periodic audits of the process to ensure adhering to the guidelines for SLA’s
·  Material Management, overview of ordering, stocking etc.
·  Man-Management, team management, regular connects with the team on deliveries as per provided KRA’s, roles & responsibilities other than KRA’s.
·  Reports & data management
·  Ensure PO to payment to be completed within timelines by vendors\\finance\\internal team.
·  Stores management
·  Ensure compliance of minimum wages acts for payments and statutory compliance through specialist professionals.
·  Ensure Gym\\ Cafeteria\\ procurement process management.

Management Role/Responsibilities

In addition to providing the information as above, the management responsibilities of this role include:

·  Oversee pantry services, catering services for in-house lunch, presentations and staff events  
·  Assist in manage service levels to meet business unit needs
·  Manage kitchen equipment inventory and maintenance
·  Ensure the general cleanliness of the office and the management of the Janitorial team
·  Manage user car park applications with Building Landlord
·  Ordering of copier refills, office equipment [non IT equipment] and plants for the office
·  Ordering of office supplies such as stationeries and pantry supplies, equipment and services and analysis.
·  Manage subscription of periodicals and newspapers
·  Manage the receptionist in the discharge of the front office duties such as;
