We are looking for proactive and structural professional to be an Assistant (Receptionist) in MEGA Dybenko !

At this position we expect you to be the first line of communication for external partners, to support the Line manager in ensuring daily uninterrupted operation of the Reception and the Centre Administration and to provide administrative support to the Centre Administration team members.

Responsibilities:

·  Receive all visitors, phone calls, tenants’ requests and applications; refer them to respective persons within the Centre Administration; receive and distribute post and mails;
·  Ensure that the Centre Reception is timely opened, maintained clean and in professional order, equipped with all necessary supplies;
·  Provide administrative support to the Centre Administration staff (preparation of documents, reports, translations, administration of contact lists, etc.);
·  Maintain the Centre filing system in accordance with corporate policies related to documents handling and archiving;
·  Support the Line manager in smooth operation of the Centre Administration office and other administrative premises used by the Centre staff (including supplies, operation of office equipment, etc.);
·  Support the Line manager in organization and coordination of meetings and staff events, travel arrangements for the Centre staff and other liaison functions
·  Assist to department co-workers in tendering process;
·  Carry out other tasks as assigned by the Line manager Customers/clients;
·  Ensure professional and timely response to the clients’ requests;
·  Assist the Centre Administration staff with their projects and tasks upon request.

Requirements:

·  Higher education;
·  Strong knowledge of Excel;
·  Previous similar experience as a plus;
·  Strong interpersonal, communication and problem solving skills;
·  Self-organized, ability to prioritize and perform multiple tasks, ability to work in limited terms (time frame, deadline);
·  Organizational skills, creativity and ability to work on own initiative, willingness to take responsibility;
·  Accuracy and precision, attention to detail;
·  Easy adjusting to change;
·  English – Intermediate level;
·  Advanced PC user, high level of proficiency in Microsoft Office applications. ​
