Job description

Main Duties and Responsibilities:

Operational:

· To ensure own knowledge and understanding of Envision is up to date.
· To develop a good knowledge of Opera front office & reservations systems in order to be competent in checking bedroom & room type availability.
· Develop and maintain close working relationship with operational departments.
· Maintain confidentiality on work issues.
· Provide accurate and timely & handovers to front office complete with rooming list, breakfast vouchers and welcome letters.
· Liaison with Immigration to obtain necessary visas for the guests.
· To develop an organized and efficient system for managing administration paper work including records, reports, budgets, traces, follow up and other documentation so as they can be found quickly and easily.
· To ensure that an accurate and efficient filing system (electronic & manual) is maintained at all times.
· To exercise due care and professionalism in handling telephone enquiries, and to provide a positive first impression of Park Hyatt Abu Dhabi in the form by adopting customer centered friendly tone.
· To ensure that all agreements (sales contracts) follow the established hotel policies and procedures and are based on sound commercial judgment.
· To develop professional conference and incentive sales proposals that win business for Park Hyatt Abu Dhabi.
· To ensure correct booking procedures are applied in relation to group room allocations, meeting set-ups, catering terms and contractual agreements.
· To organize and coordinate the pre-convention meeting in conjunction with respective sales/convention manager.
· To review function rooms blocked by you weekly to ensure that all business on the books is “live” and traced, tracked for confirmation.
· To ensure that changes in product status are reflected with change in the hotel Net Delphi database system, in a timely manner.
· Liaise with sales account managers on any corporate or group issues and action as required, maintaining communication internally.
· Work with Sales managers to create positive & professional relationships with clients.
· To ensure that the catering/convention service team projects a warm, professional and welcome image.
· Marketing
· · Assists to conduct extensive competitor research and maintains excellent Product Knowledge of the Hotel.
· · Be aware of community, business, political and social factors that may affect the hotel’s financial performance.
· Personnel
· · Supports the implementation of The People Philosophy, demonstrating and reinforcing Hyatt’s Values and Culture Characteristics.
· Administration
· · Ensures that an efficient and accurate filing system, both manually as well as electronically is maintained at all times.
· · Maintains complete and supported records of all Sales Agreements, Contracts and Quotations for the hotel.
· · Establishes an efficient trace File to ensure that all business booked is properly tracked.
· · Assists in consolidating and preparing Sales report.
