About the Role
As a Sales Assistant Manager, you will play a vital role in supporting the Sales team with group inquiries, proposal preparation, internal coordination, and maintaining operational excellence within the department. You will ensure all administrative and guest‑facing processes are executed with precision, efficiency, and a luxury mindset.
Your contribution will directly support the conversion of group business, enhance client satisfaction, and ensure seamless communication across departments.
Main Responsibilities
Sales Support & Administrative Excellence
· Support Sales Managers in handling group requests and preparing high‑quality proposals.
· Draft and manage contracts, presentations, and commercial documentation following Hyatt standards.
· Enter and maintain accurate information in internal systems such as Envision and Opera PMS.
· Monitor option dates, deadlines, deposit schedules, and documentation requirements.
· Manage departmental files, reports, and client databases with strong attention to detail.
Cross‑Departmental Coordination
· Collaborate closely with Events, Operations, and Marketing to ensure a seamless transition from sales to execution.
· Coordinate internal needs to align client expectations with operational capabilities.
· Support the preparation and scheduling of site inspections, agendas, and client visits.
Client Relations & Personalized Service
· Maintain professional, timely communication with clients, agencies, and industry partners.
· Conduct follow‑ups with clients after sending proposals to strengthen conversion potential.
· Assist in hosting site inspections and welcome clients with a warm, polished, and professional approach.
Commercial Strategy & Market Analysis
· Assist in preparing reports, market trends, and competitive insights.
· Contribute to identifying new business opportunities and improving internal processes.
· Support cross‑selling efforts and departmental commercial initiatives.
Operational Quality & Team Support
· Ensure all communication, documents, and interactions reflect the luxury standards of Grand Hyatt Barcelona.
· Maintain strong organizational systems and a well‑structured workflow within the Sales office.
· Support the onboarding and training of new colleagues and trainees when required.

Qualifications & Requirements
· Previous experience in administrative, commercial, or sales support roles, ideally within luxury hospitality.
· Excellent communication skills and a strong client‑service mindset.
· Proficiency in Spanish and English; additional languages are a valuable asset.
· Strong organizational and multitasking abilities, with a high level of attention to detail.
· Knowledge of Opera PMS, Envision, and Microsoft Office is highly preferred.
· Proactive, solution‑oriented, and collaborative approach.
· Ability to work in a fast‑paced and multicultural environment.
