Provides the director and managers of sales and marketing with administrative and clerical support including word- processing, typing, e-mailing, filing, data-entry, faxing, copying, corresponding, answering telephones, processing mail, taking notes and/or dictation, making travel arrangements and performing other general office duties. Assists on special projects as needed.
What will I be doing?
Coordinate projects and activities. This may involve attending meetings, taking notes and acting upon assigned duties to coordinate the assigned project.
Courteously answer incoming phone calls from persons inquiring about the rental of guest rooms and/or meeting space and/or the purchase of on-site (hotel) catering. Qualify customer, either inquiry related or driven by solicitation, for strategic buying needs and uncover personal buying needs.
Represent hotel in significant interactions dealing with customers relative to sales and operational questions, concerns, and issues. Write proposals and/or contracts to advise prospective groups for meeting space and/or banquet date, for moderately complex meetings, space and rate availability for group accommodations, Corporate accounts or Leisure travelers and quote prices for same.
Responsible for initiating reservations for group attendees, Corporate or Leisure guests, preparing rooming lists, revising existing reservations, building group blocks in the PMS as needed.
Communicating to external customers any communication deemed necessary by the Department Management, Directors and Sales Managers
Assist the Sales Managers upon request to conduct site inspections with potential customers, visiting guest rooms, meeting space and banquet facilities, as well as other hotel facilities
Maintain communication with departments involved in the assigned project/activity
Attends weekly sales departmental meeting and other scheduled meetings to support business operations, such as group pick up meeting, weekly operations meeting, tentative review, lost business review, group-pick up, weekly sales meeting etc.
Greet internal and external customers when entering the department.
Answer telephone and assist internal and external guests with requests.
Maintains detailed filing system for the department
Data entry using Delphi, Microsoft Word and Excel.
E-mail/write correspondence directed by managers as needed. Makes copies, filing, faxing, and distribution of incoming/outgoing mail and packages.
Copying and distributing of internal/external letters, forms, bookings, contracts, resumes, room lists, schedules, and mail.
Keep work area clean and organized.
Performs other duties, projects and responsibilities as assigned or required by management.
Maintain a good working relationship with other departments, employees, and guests.
Any other tasks assigned by General Manager or Director, Sales.
