Business Focus

To help drive event business forward by following the business processes prescribed by the GC& E Sales Manager,/DBD as part of Hilton Worldwide Standards

 Handle all customer requests and requirements with a professional telephone manner and demonstrate high standards of customer service

 Deal with the final details of all conference bookings once the business has confirmed and turned definite in the system to build strong working relationships with our clients and develop an understanding of their specific needs and requirements to develop future/repeat business for the Hotel

 Lead the weekly operations function sheet meeting, anticipating questions that will be raised by the operations team and providing answers in a timely manner, ensuring that all clients requirements are exceeded

 Pro-actively identify customer needs and provide solutions to match them

 Respond positively to sales opportunities and identify new accounts and contacts to develop new opportunities within the Hotel, with all sales leads being passed over to the Sales Office

 Develop and expand current existing accounts, focusing on achieving repeat business and up selling opportunities

 To maximise sales and revenue for the hotel by ensuring a sales attitude is adopted at all times and being aware of all sales opportunities within all areas of the hotel and proactively promoting the hotel services.

 To adhere to all company credit policies to ensure that all revenue expected will be received (chase pre-payments when required, take required deposits, resolve any billing queries prior to guest’s arrival, ensure all billing instructions correspond with fax confirmation).

 To identify sales leads for the sales department to follow up for potential future business.

 Develop productive working relationships and ongoing communication with all revenue generating departments increasing the development of business and the maximisation of yield and space within the Hotel

 Develop and maintain excellent product knowledge and use in delivering the benefits of the product to the client

 To be available to carry out a meet and greet with clients, and carry out constructive handovers between the client and Conference & Banqueting Operations both inside and outside office hours. Conduct and assist the hotel operational team with the Exit Interviews.

 Conduct any On site Show rounds as required by the GCE team

 Attend Credit Meeting’s and action accordingly People Key Responsibilities of the Role Responsible for leading and managing the Event Planning team to its fullest potential ensuring that it meets both current and future needs of the business. To take an active team role within the wider GCE Team on a daily basis.

 To maintain good working relationships with fellow colleagues and other departments.

 To attend appropriate training courses as and when required and be able to train other members of staff to the required standard for any chosen task.

 To liaise and support the Group, Conference & Events team in providing relevant information as required.

 To ensure effective communication with the Operations team and General manager.

 To carry out all tasks as designated by the Commercial Director/GC&E Manager/General To comply with H&S standards and legislation

 To take an active part in weekly conversion and sales blitz days Administration To implement all processes owned by the Group, Conference & Events office in an accurate manner.

 To ensure the accurate administration of all Group, Conference & Events bookings and related correspondence, ensuring that clear billing instructions have been received

 To maintain an effective filing system as directed including past records.

 Create accurate written confirmations and quotations for clients in line with departmental standards for social/ banqueting and wedding events where necessary

 Ensure accurate and up to date customer records in Delphi/OnQ and that all best practices are followed and maintained

 To comply with all systems, procedures and GCE best practice as laid down by the Commercial Director, C&E Sales Manager  To adhere to the Telephone Brand standards.

 To have a sound knowledge of all technical systems and procedures relating to the role.

 To compile and produce the departments BEO’s on a weekly basis

 To manage all GCE billing and House Accounts on property in line with company standards

 Attend client dinners and appointments/Fam Trips as required

 Assist in additional projects and departmental tasks as required

 Organise and prioritise work in order to ensure guaranteed response times and deadlines are met

 To attend the Hotel Weekly Operations meeting to effectively hand over all forthcoming bookings to the Hotel in line with company standards Sales & Customer Management To support all activities that drive sales at the hotel, ensuring customer satisfaction at all times

 To deal with all enquiries and customer requests, including traces, promptly, in a friendly manner and in line with company standards

 To meet groups contacts/organisers and conduct show rounds/Fam Trips if required.

 To maintain a high level of product knowledge about the hotel and local area

 To develop positive business relationships and a high standard of communication with all sources of business and between the hotel and all worldwide sales offices

 To actively seek feedback from customers on a regular basis

 To support an environment where everyone sells, including other Hilton Properties

 To carry out competitor checks and keep abreast with activities on the local market.

 To actively seize sales opportunities and be able to quantify the business which we handle

 To have a personal impact, taking responsibility and using initiative to resolve issues

 To approach tasks orderly, with tenacity and determination, completing work to the required standard within the deadlines agreed
