Role Summary/Purpose
The Administrative Assistant-Accounts, will primarily process invoices to customers ensuring accuracy on pricing and that all customer requirements are met. This position will also clear disputed invoices and will process AP invoices as needed.
Essential Responsibilities
In the role of Administrative Assistant -Accounts you will:
· Review & process all invoices to customers in a timely manner
· Review outstanding accounts and invoices for payment
· Resolve customer invoice disputes and discrepancies
· Monitor accounts to ensure payments are up to date and received payments are posted
· Promptly obtain required invoice approvals from appropriate level of management
· Reconcile accounts payable transactions with customer statements
· Assist with month end closing and audits
· Assist with Finance & branch Audits
· Assist other departments as needed
· Perform all other duties as assigned
Qualifications/Requirements
· High School Diploma / GED from an accredited school or institution
· Minimum 3 years of experience in administrative role
Eligibility Requirements:
· Handle business sensitive and confidential information
· Work overtime, weekends and holidays, as required
· Consistently meet daily, weekly and monthly deadlines
Desired Characteristics
· Strong organizational and attention to detail skills
· Knowledge in Accounts Payable
· Ability to prioritize workload to meet deadlines
· Proficient in MS Office
· Ability to professionally communicate with employees at all levels of the organization
· Knowledge of accepted accounting and bookkeeping principles and procedures
· Demonstrated written and verbal communication skill
