Job Summary

 

The PMO has overall business and commercial responsibility for all program and project activities. The PMO Lead is a key member who leads and guides the Team. The PMO lead is responsible for the oversight, profitability, predictability, project management resourcing and quality of overall project activity. The role requires mastery of the technical knowledge of project management inter-related process stages i.e. initiate, plan, execute, monitor and control and close, and the supporting processes e.g. scope, cost, time, issue, risk, resource, communication, stakeholder management. Proficiency in related processes, methods and tools and quality assurance is also required. Overall

Essential Functions of the Job:

·  8+ Experience in leading large PMO organization
·  Exposure to senior stakeholder Management
·  Plan, initiate, and implement the PMO capabilities
·  Manage the Project Portfolio and oversee the execution of the project management activity, interacting with the Portfolio leads, Service delivery Leads and Senior management as needed
·  Prepare the Project Portfolio plan in conjunction with the portfolio leads and Product Owner organization
·  Reporting of actual and forecasted Project Portfolio status
·  Provide Program PMO services to all large programs including Transition and Transformation (as funded by the Program)
·  Ensure Project Portfolio Governance, including Issues & Escalation management, Preventive/Corrective actions are implemented and executed accordingly within the portfolio
·  Implement and lead the overall Portfolio Risk Management
·  Ensure that tools, methods and processes are implemented and operated consistently in all project activities
·  Represent Program Project Management best practice to the customer
·  Manage the project level issues, decisions and risks, including escalations to internal and external stakeholders
·  Ensure the PMs have all required information to initiate their project
·  Establish and ensure that appropriate Quality Assurance processes are maintained
·  Review and approve all program and project plans
·  Establish the knowledge capture and reuse, including lessons learned
·  Assist in acquiring staff and resources for program and associated projects
·  Manages the internal SharePoint collaboration tool (standard, space and user access)
·  Ensures standards are followed in documentation management, i.e. version control, including within the SharePoint and workbook storage
·  Ensures  distribution lists are up-to-date
·  Ensures coaching/training to ensure a multi-disciplined approach in terms of each knowledge area e.g. risk management, schedule management etc., in order to provide coverage for other PMO team members during vacation periods.
·  Dashboard creation ( PPMC /Internal/ external deck/governance)
·  Reporting ( PPMC /KT/dashboard/deliverable log/milestone)
·  Conducts/facilitate Project Management Compliance Audit and Peer Review process
·  Initiates Quarterly CSAT survey, collates the responses, prepare plan for preventive & corrective actions. Drives change to improve the CSAT scores quarter on quarter
·  Project closure 

Analytical/Decision Making Responsibilities:

·  Monitors and tracks the project baseline to ensure activities are occurring as planned - scope, budget and schedule – highlights the variances, drives the respective corrective actions with Program leads, Service owners and Project managers
·  Proactively performance monitoring and reporting on project portfolio
·  Proactively identifies the opportunities to simplify and improve the project management & delivery processes to increase efficiency and effectiveness in the eco system
·  Identifies potential points of contention for missed deliverables; creates and implements strategy to mitigate shortfalls in timeline and budget
·  Anticipates problems before they occur; defines the problem or risk; identifies possible causes; works with relevant management stakeholders to identify solutions; selects and implements most appropriate solution
·   Analytical skills and problem solving skills needed to manage multiple factors simultaneously
·  Demonstrate business analytics to manage and meet sponsor and customer needs.  

Knowledge and Skills Requirements:

• Exposure to PPM or any other project management tools.
•Experience of managing PMO in a multinational organization. Portfolio comprising of IT projects with a total budget/revenue of $ 5m up to $ 15m in value
•Mastery of project management methodology, tools and templates (includes project planning, schedule development, scope management and cost management)
•Track record of customer focus, based on openness, trust, and delivering on promises
•Not mandatory but desirable - management skills to manage one or more large, complex projects simultaneously
•IT background with experience across the systems development life cycle with experience in all project phases – plan, initiate, elaborate, design, build, test, implement.
•Knowledge and use of industry-standard project methods, tools and techniques e.g. RAIDS, budget, communication
•IT Infrastructure Management Knowledge is an added advantage – Networking, Sever Management, End User Computing, Voice & VoIP, etc
•Strong team working skills across matrixed client, supplier and geographically dispersed virtual teams
•Strong communication and interpersonal skills (includes negotiation)
•Excellent written and verbal communication skills – must be able to communicate fluently in English both verbally and in writing
•Leader in the use of IT methodologies, processes and standards for project management
•Experience in working with Global teams – internal resources, contracting resources, suppliers/hardware & software vendors
•Not mandatory but desirable - experienced in managing to contract; ensuring clients and suppliers alike perform in accordance with original agreement

Supervision Responsibilities:


•PMO lead is expected to act independently to deliver results with minimum supervision, and is self-driven and motivated
•Will lead a team of 10 – 15 members team; directly supervises staff; assigns responsibility to members; monitors progress
•The portfolio is consisting of cross functional, global, and virtual groups; ability to work in the matrix organization

Other Requirements:

•National and international travel may be required

Job Requirements:

Education:

•A degree in Computer Science or a related discipline; or equivalent work experience

Experience:

•10 to 15 years in a corporate IT environment 
•5 to 10 years of experience in project management & PMO
•Other relevant experience in a related technical field (application development, deployment/implementation and infrastructure)
•Work experience in a professional services industry, and in multinational company/global firm is preferred

Certification Requirements:

•Project management certification is preferred (PMI/CAPM or PMP, PRINCE2)
•Agile certification would be advantageous
•Familiarity with ITIL v2 or 3 would be advantageous
