ENGIE are recruiting for a 
Technical Dispatch Administrator  to be based at Edward Hyde Building,38 Clarendon Road, Watford WD17 1JW . This is a 9 Months Fixed Term role,  working 40 hours per week. On offer is a competitive salary.

Working hours are : 
Monday - Friday - 9 am - 5 pm


General Overview:

The role of the Technical Dispatch Administrator is to provide a daily work planning and dispatch function for the planned preventative maintenance of assets within client locations and provide comprehensive office support by answering phones, dealing with customer queries and maintaining records. You will be required to utilise the current database systems (Maximo 7.5)  and Infor to export information relating to monthly maintenance regimes and reactive works to plan and allocate work to the required engineer or contractor, chase for outstanding PPM, raise corrective maintenance where required and follow through to completion of work, reporting to Team Manager.

To be successful in this role you must provide the following:

·  Minimum of 3 year history of employment (including information which can be verified for any gaps)
·  If you do not have 3 years previous employment, a professional reference must be provided (obtained from a Medical Practitioner, Officer of the Armed Forces, Teacher, Lecturer, Lawyer, Bank Manager, Civil Servant etc)
·  Proof of identity & eligibility to work in the UK which must include Photographic I.D - Passport or Driving License. 
·   - Passport and all relevant work permits
·   - NI Number information / proof and FULL Birth certificate (not the short version)
·  If no legal photographic documentation is owned then a passport photo which has been signed and verified by any of the above professionals will be required. This needs to show their title, signature and contact details.
·  3 proofs of address from within the last 3 months (i.e. Driving License, council tax bill, bank statement, utilities bills).
·  Any required qualifications or driving licence if required for the role.
Main Responsibilities/Duties Include:

·  Action the out of hours report on a daily basis
·  Call answering within agreed performance standards from; engineers, RTM/STM, engineer supervisors, CSC and FM’s, all subcontractors
·  Open and overdue - monitoring and closures of all work orders 
·  Complaint handling and escalation as required and support continuous improvement activity to reduce levels of customer complaints
·  Chasing calls from CSC to provide customer updates
·  Goods receipting purchase orders when goods or service are received (check when  jobs are completed)
·  Dispatching work orders to engineers and subcontractors 
·  Accurate production and issue to authorised subcontractors of Purchase Orders through the Coupa system within Client specific guidelines and SLAs
·  Raise purchase orders through the SAP system to the value not exceeding agreed limits.
·  Dispatch calls to sub-contractors based on the correct skills sets, geographical location and service delivery arrangements.   
·  Plan daily work load for subcontractors using available systems.
·  Collate accurate and punctual regular reports as required
·  Prioritise urgent jobs and plan and dispatch sub-contract support to meet urgent demand.
·  Ad hoc administration duties.
·  Update work orders to accurately reflect information provided from subcontractors to Clients satisfaction.
·  Work from daily reports provided to ensure job are attended and completed within SLAs

Qualifications or Required Experience:

·  Good standard of education
·  High level of IT literacy and knowledge of Microsoft Excel. 
·  A courteous and professional manner is a must as the successful candidate will be required to communicate with clients, contractors and engineers on a regular basis. 
·  Previous experience in a (Planning Maintenance) similar role. 
·  Ability to manage own workload and work to strict deadlines whilst maintaining a high level of accuracy is essential
