Job description

Workplace Solutions are recruiting for a Receptionist / Booking Co -ordinator to be based in Cannington Court, Cannington, Somerset TA6 2HA. This is a permanent, full time role working 40 hours per week. 
Shift times are as follows;


· 
Monday 11:30 - 20:00

· 
Tuesday 11:30 - 20:00

· 
Wednesday 07:30 - 16:00

· 
Thursday 07:30 - 16:00

· 
Friday 07:30 - 16:00

On offer is a competitive salary of £19,191, per annum, dependant on relevant skills and experience.

General Overview: 

The role is customer facing and will be the first contact many visitors to Cannington Court will have with EDF or Workplace Solutions thus the role will involve representing both companies and must maintain the highest standards of appearance, Hospitality, organisation and efficiency at all times.

Key accountabilities include:-

·  Manage resources to meet daily schedules within this service.
·  Developing, managing and maintaining the standards and Service Level agreement of this service
·  Work with Security Staff whenever necessary to ensure the smooth running of services.
·  Act as Cannington Courts welcome point and shop window
·  Liaise with EDF-Energy and Security as required.
·  Manage the booking and issuing of meeting rooms, accommodation and function space.
·  Maintain the visual appearance of the reception area to a professional standard.
·  As part of the building team, react to emergency alarms in accordance with Procedures.
·  Sundry additional administrative duties as required to support the business which will be managed by the Workplace Solutions Line Manager.
·  Carry out any other duties as may be necessary for the smooth running of the services. This will be managed by the Workplace Solutions Line Manager.
·  Liaise and communicate with visiting guests
·  Operate and keep up to date any IT based visual display equipment and screens
·  To be aware of and carry out the policies and Procedures of EDF, including Fire, Health and Safety, Accidents, Security, Infection Control, Complaints and Confidentiality.
·  To comply with the requirements of the Health and Safety at Work Act and emergency procedures as required.
·  Manage a number of filing systems for Due diligence records
·  Maintain the welcome lounge in a clean and tidy state
·  Monitor the cleanliness of ground floor areas and inform the housekeeper if any cleaning is needed.
·  Manage the security of keys
·  Manage the security of guest luggage being held in storage
·  Carry out any other reasonable duties linked to the reception function  
·  There will be a need to act as a host at some social events
·  To be flexible and help out in other parts of the building such as Conference and Events
·  To carry out Health and Safety responsibilities as per FOH, OM and HSM requirements
Attributes for the role:

·  As this is a customer focused role, the role may include facing difficult visitors so it is important that there is a good understanding of the responsibilities and the mission of the business which will help to remain focused in the priorities.
·  A further requirement of the role is to have a good attention to detail and the ability to manage several responsibilities at once.
·  At any given time, there will be a requirement to stop what you are doing and assist with other responsibilities.
·  Discretion of any duties is of great importance along with a calm demeanour. Interruptions can happen often however it is important to maintain a calm and listen to what is being requested. This type of work can be monotonous but ensuring that you have a positive outlook.

·  Previous relevant experience.
·  A good level of general education is required in addition to basic administrative skills and a competency with Microsoft Office packages, MS-windows, Excel, PowerPoint.
·  It literate, good spoken and written English and sound maths.
·  An ability to speak French is not essential but would be an advantage.
