Purpose

The Project Coordinator plays a key support role for operations and the regional office. They provide support making the team more efficient and effective, ensure the office runs smoothly and help create a positive and team oriented culture.

Essential Job Functions

·  Log, process, and distribute all requests from subcontractors
·  Attend project meetings internally/externally, take minutes and gather any information or action items needed for follow up
·  Assist in supplier qualification efforts and provide results to Accounting/Legal
·  Assist in ensuring customer and state compliance requirements are understood and administered (i.e. Live Scan)
·  Assist team members to develop construction site safety plans and prepare project documentation such as permit applications
·  Assist team member to set up and manage projects on Procore, managing the verification of construction daily reports from subcontractors
·  Assist team members and Labor Compliance to track certified payroll, following up with subcontractors as needed for any missing documents
·  Assist team members to track project closing with either local permitting agencies or the Division of the State Architect (DSA), tracking, collecting and logging all required forms and documents
·  Support project closeout including consolidating documents for the customer, internal binders, collecting final unconditional lien releases from vendors and subcontractors, preparing final completion forms, and collecting customer training materials
·  Support team members with coordinating the printing and delivery of as-built drawings
·  Organize project folders following archiving protocol for projects that are in close-out phases
·  Take inventory of office and kitchen needs, ordering items and working with suppliers, vendors and building management as needed
·  Handle all operational related matters such as mail, printer/copier, office keys, snacks, catered lunches, etc.
·  Assist HR and IT to welcome new employees, including set up of their work stations
·  Responsible for office organization, functionality, appearance and cleanliness
·  May perform other duties as assigned

Requirements

·  Ability to work independently, multi-task and manage multiple priorities
·  Excellent time management and organizational skills
·  Strong computer skills required, must be proficient in Microsoft Office
·  Exceptional verbal and written communication skills and problem solving Essential Physical Abilities

·  Ability to travel 15% to 20% of the time
·  Occasionally move about inside the office to access file cabinets, office machinery, etc Education/Experience

Required:

·  High School Diploma/G.E.D or 2+ years administrative experience Preferred:

·  Bachelor's Degree
·  10 years of experience
·  Field experience interacting with customers
·  Construction background
·  Familiarity with DSA requirements
·  Proficiency with Procore and Adobe Acrobat Working Environment

·  Normal office environment
·  Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer
