Job description

ENGIE are recruiting for a Planner/ Administrator to be based in West Malling. This is a permanent full time role working 42.5 hours per week. On offer will be a competitive salary. The role holder will report into the Office Manager.

The role of Planner/Admin monitors and administers the scheduling of works process to the ENGIE Services Engineers. To provide an effective administrative service to the office and site teams, ensuring the smooth running of the strategic office and systems. To utilise the in house systems in place where possible. To understand, implement and adhere to the company SHEQ policy/strategy.

Main Duties and Responsibilities

·  Carry out various administration tasks to a high standard as instructed by the company
·  Scheduling appointments through Impact Response
·  Processing variations
·  Arranging follow on appointments
·  Invoice administration
·  Customer Satisfaction Surveys
·  Liaising with client counterparts
·  Assist with the adherence to the Company quality standards including Compliance with procedures and processes
·  Compliance with procedures and processes
·  Maintain and care for all company property
·  To wear appropriate clothing / uniform 
·  Liaison with the client, consultants, contract administrator, head office etc
·  Material co-ordination
·  Ensure accurate / timely completion of any relevant documentation
·  Utilise IT to the full and ensure work is progressed effectively
·  Prioritise workload
·  Maintain confidentiality of private and confidential information
·  Ensure correct internal and external distribution of correspondence
·  To provide an efficient, courteous and professional approach to all telephone callers
·  Monitor internal system to ensure that issues are resolved in a timely manner by the relevant person
·  Ensure that  emails are dealt with appropriately 
·  Ensure that controlled documents are recorded appropriately
·  To oversee/assist in the training of new starters as required
·  General administration and processing of documents, filing, scanning etc.

Previous Experience and Qualifications

·  Previous  administrator experience 
·  Outlook efficient
·  Excellent organisational skills
·  Effectively manage time in order to meet deadlines
·  Ability to work on more than one project at a time
·  Ability to process information from more than one source
·  Professional attitude and approach to work
·  Ability to competently operate MS Word & Excel
·  Ability to work to tight deadlines
·  Good verbal and written communicator
·  GCSE English and Maths
Desirable

·  Industry experience
·  Experience of Responsive Repairs contacts
·  Knowledge of all MS Office packages
