Job description

ENGIE are recruiting for a Office Administrator to be based in Leeds, LS11 9SP. This is a permanent part time role working Monday to Friday (minimum 20hrs - 10am – 2pm) up to 30hrs per week. On offer is a competitive salary and benefits package.

Purpose of the role:
To ensure the smooth running of all office facilities, maintenance and systems.
Providing an extensive administrative service to office managers and site teams.

Key responsibilities:

•Co-ordinate all annual servicing for the office
•Test the fire alarm weekly with alternate Fire Marshals
•Responsible for weekly inspections, maintaining excellent working environment
•Process any office repair,, furniture and equipment requests
•Ensure Notice Boards are relevant and up to date with Communications and news
•Order stationery and printer/plotter supplies
•Provide copying/printing and scanning services
•Produce mail merge letters, presentations, binding and laminating
•Frank mail for posting
•Maintain confidentiality of private and confidential information
•Add new revised information to Tracker Reports
•Update spreadsheet data and provide copies of Reports
•Collate documents and prepare for archiving at Contract completion
•Carry out shredding/filing as per standard system. 
•Review all files to ensure procedures are being followed and files are up to date
•Update, print and distribute Weekly and Monthly Reports for Managers
•Book any Meetings to a relevant room using the ‘Meeting Calendar’
•Check whether a Buffet is required, obtain signed paperwork and 
•Prepare meeting rooms with refreshments if required  
•Take meeting minutes where requested, type up and distribute to meeting attendees
•Check office deliveries and process/store
•Liaise with cleaners and attend monthly KPI meeting with Manager
•All sections of the SHEQ Manual must be current and forms completed regularly

Qualifications/Experience:

•Proven experience in a similar role is essential.
•Able to work with diverse groups in an open and supportive manner
•Demonstrate an eye for detail and commitment to delivering to high standards.
•Excellent organisational and problem solving skills.
•Effectively manage time in order to meet changing deadlines.
•Professional attitude and approach to work.
•Competent in operating MS Office (Excel, PowerPoint, Outlook and Word).
•Ability to multi task and accomplish targets
•Confident and self-motivated.
•Team commitment.
