Job description

ENGIE are recruiting for an International Bid Administrator to be based in London. This is a permanent full time position. On offer is a competitive salary.


ENGIE International FM (EIFM) is part of the ENGIE Group B2B Services business line and a transversal Group-wide development and support function focused primarily on the EMEA and Global integrated facilities management market.   EIFM is not directly linked to any individual Business Unit within ENGIE and maintains an independent support role to develop the interests of all ENGIE Business Units across geographies. EIFM covers all phases of Facility Management projects, from building outsourcing strategies, through Tendering Process and Operations Management at International level.

General Overview: 
The Bid Administrator’s primary focus is to support the Business Development Manager in the management of the bidding process and to support in the production of successful bid submissions.

The Bid Administrator will be deeply involved in supporting the EIFM Business Development team to win large, complex and profitable new contracts.
The role demands the highest standards of bid writing as well as strong coordination capabilities to organise time and resources according to the bid timeline and to draw from expertise of various parts of the organization.

The role will also support the production of internal content, tools and process to manage the growth of international opportunities such as Salesforce, the Bid Library ... and take responsibility for nurturing the relationship with ENGIE national teams by supporting national teams for local opportunities.

The Bid Administrator supports the Business Development Manager in prospecting new clients through preparation of presentation material and coordinating resources from across EIFM and the wider ENGIE businesses. The Bid Administrator will support marketing and product development projects and will coordinate regular EIFM workshops.

Accountabilities:

·  Writing and developing successful and high quality proposal documents, in line with the win themes identified with the Business Development Manager and the expectations of the client
·  Developing tailor-made content to address each specific project, including writing tailor-made solution proposals and dedicated technical solutions
·  Ensuring the production of deliverables compliant with the bid requirements and according to the timeline
·  Development of presentation and marketing material for client presentations.
·  Responding to Request for Information from potential new clients.
·  Supporting the Business Development Manager in the various steps of the bid management: governance, Q&A process, regular updates, consolidation of the offer, etc.
·  Management of the Sales Force database recording the opportunities pipeline and producing regular management reports for distribution to ENGIE colleagues and BU leadership.
·  Coordinating annual EIFM conferences.
·  Maintaining the EIFM bid library on Easy PQQ and SharePoint, ensuring that high quality and up to date standard responses are available for a comprehensive response to request for information.
·  Maintaining statistics on Group wide revenues, headcount and health & safety performance for inclusion within Request for Information responses.
·  May include direct project management of individual bid assignment as directed by the Business Development Manager.
·  Provide a range of general duties and ad-hoc support to the wider business development efforts.
·  Lead the development of high-quality collateral and other sales material
·  Maintain an active communication network with all countries teams (pipeline calls, workshops, ...)
·  Flexibility to support the business as needs arise

Qualifications or Required Experience:

·  Strong organisational and project management skills with the ability to work under pressure to strict deadlines

·  Self-motivated; able to work without constant direction and guidance
·  Sound understanding of Strategic, Financial, Risk Analysis & Business Assurance systems
·  English proficiency to develop and write high quality professional content
·  Fluent in French, any other language is a plus.
·  Full proficiency with Microsoft Office applications, especially PowerPoint for the production of high quality and innovative presentation content
·  Abilities in a design software (e.g. InDesign) is a plus
Qualifications

·  University diploma or equivalent
Desirable

·  Experience in the FM, BPO or B2B Service industry
