Job description

ENGIE are recruiting for a Contract Administrator to be based in Portsmouth PO3 5PU. This is a permanent full time role working 40 hours per week. On offer is a competitive salary of £25,000 per annum and benefits package.
 
As Contract Administrator, you will be part of a busy office team. You will work closely with Contract Managers & Supervisors to ensure all works (PPM, reactive & quoted) are processed and dealt with in a timely manner in accordance with the contractual requirements.

The normal working hours will be Monday to Friday, 8:00am until 5:00pm.

Main Responsibilities/Duties Include:
·  Process PPM, reactive and quoted works (WIP) for invoicing in a timely manner
·  Entry & verification of engineer’s timesheets and job reports assisted by the Contract Managers
·  Liaise with Contract Managers and Supervisors to effectively deal with invoicing queries escalating issues where necessary to Management team
·  Generate invoices & issue to customers through agreed communications channels (post, emails & customer CAFM systems) on a monthly basis
·  Continuously update appropriate accounting system with detailed & accurate information ensuring supporting information / evidence is in place
·  Chase appropriate party for supporting information (subcontractor & engineers reports, subcontractor & supplier invoices) if not in place & file accordingly
·  Processing any contractual requests ensuring the system is up-to-date (renewals, terminations & variations)
·  Carry out general administrative duties in line with the departmental policies & procedures

Qualifications or Required Experience:

·  Previous experience in a similar role
·  Prior experience of CAFM systems (SAP, Basware, Coupa - & Planon advantageous)
·  Good Knowledge of Microsoft applications including Excel and Word
·  Health & safety awareness
