Engie are recruiting for a Business Support Co-ordinator to be based at New Victoria or Stobhill Hospital, Glasgow This is a permanent full-time role working 37.5 hours per week (Mon-Fri 09:00-17:00 with 30min break). On offer is a competitive salary per annum. The role holder will report to BSC – Administration Supervisor and will provide administrative support for the Site and Site management team, including but not limited to:

•Technical compliance support, with the administration of reports/tasks including validation/filing.
•HR administration, which includes processing absence returns (both through tracker and updating SAP), tracking annual leave, completion and submission of recruitment/new start/leaver/employee amendment documentation, creation and maintenance of induction packs for all employee roles (new starters).
•Administration of Trackers – Small Works/Damages/Variations/PPE/Disclosure
•Administration of reports/tasks including validation/filing to support service delivery and audit preparation.
•Reception duties including site access for subcontractors/visitors, including H&S inductions, issue and control of permits, vests, keys and passes.
•Assist with site deliveries, following procedure to ensure correct storage and receipting of goods.
•Arrange and attend meetings including production of minutes and room bookings
•Quality system administration including filing and archiving.
•Maintaining office supplies, including control and distribution of work wear/PPE, stationery, telephony and IT equipment.  Raising Purchase Orders as required. 
•Maintaining the site training matrix and subsequent administration of certificates.
•Collection and distribution of internal and external mail.
•Upkeep of notice boards
•Other general administrative support as directed by local and Regional Management team.

There will be the occasional requirement to work within the Business Support Centre (BSC) in Glasgow to provide cover within the Helpdesk. Training will be provided

•Proven experience in a professional environment.
•Experience or understanding of Facilities Management on a PFI/PPP contract is desirable but not essential.
•Enthusiasm, flexibility and team-working skills.
•Ability to establish priorities, work independently, and proceed with objectives without supervision.
•Ability to work well under pressure in a fast moving and challenging environment.
•Excellent PC skills to include Outlook, Word, Excel and Power Point.  Advanced Excel preferred.
•Proven written and verbal communication skills including a high level of accuracy and attention to detail.
•Disclosure Scotland (or equivalent) at Basic level. (ENGIE will fund at verbal offer stage).
