ENGIE are recruiting for an Admin Officer to be based in Queen Alexandra Hospital, Southwick Hill Road, Portsmouth, Hampshire PO6 3LY. This is a permanent, full-time role working 37.5 hours per week (08:30-16:30 Monday-Friday). On offer is a salary banding of £19,000-£20,000 per annum, dependent upon skills and experience.  This role reports directly to the FM Hub Manager.

The Admin Officer forms a vital part of a team that provides admin function for the FM Services, on all aspects regarding Recruitment, Time and Attendance system (WFM), Payroll and staff PPE.  The role also involves assisting the Admin team in meeting objectives and standards of the Departmental Admin service. 


Specific Responsibilities/Duties Include:

·  To provide admin support to the FM Services division, including minute-taking
·  To receive and greet incoming callers and visitors to the Department
·  To maintain and update staff sickness and annual leave records using WFM
·  To assist in completion of monthly/weekly payroll downloads and process payroll accordingly
·  To assist in ensuring all paperwork relating to recruitment of Trust ROE staff is completed in a timely manner
·  To support the Catering Team in the production of Patient menus, as and when required 
·  To provide cover for other Admin staff within the FM Office during absences

Skills / Experience / Qualifications:

·  GCSE (Grade C or above) or equivalent, in Maths & English
·  Good working knowledge of Excel (including presentation of numerical data)
·  Knowledge and experience in payroll administration of a large organisation
·  Experience of NHS payroll and Agenda for Change processes
·  Experience in the use of a Time and Attendance system
·  Good verbal and written communication skills
·  Computer literate, able to use Microsoft Word and PowerPoint (as well as Excel)
·  Able to work effectively as part of a team
·  Good knowledge of Health & Safety
