Project Coordinator

Position Description
Do you have strong administrative skills and are looking for a job with meaning? For a role that lets you be a critical part of an important transformational project? To work directly with a highly skilled team of professionals? CGI (US South) is looking for a Project Coordinator to support a high-profile project in Tallahassee, FL. The Project Coordinator will assist the Project Management Team in providing the critical administrative functions of the project. This role is not for a passive administrator. We are looking for a dynamic and proactive coordinator that wants to be a critical part of our project’s success.

Your future duties and responsibilities
• Develop and coordinate the on-boarding policies and procedures for new project team members. These activities may include background checks, getting badges/ids, security scans, interviews, etc.

• Develop and coordinate the exit transition policies and procedures for project team members leaving the project. These activities may include exit interviews, ensuring all equipment is returned, security/id badges are returned, travel and expense reports are completed, etc.

• Developing a Project Notebook with project policies, procedures and helpful information for project team members. Examples of policies included will be for work hours, travel, expense and reimbursement, dress-code, communication and social media use, data and security, etc. Examples of information will included will be for work-site location and travel logistics, facility and parking information, work schedule and holidays, etc,

• Publishing updates to the Project Notebook content to make sure it remains up-to-date and relevant as the project progresses.

• Performing reviews and audits of the project policies to ensure project members are following the appropriate instructions and procedures.

• Reviewing and approving travel and expense reimbursement reports.

• Providing periodic reports on the travel and expense costs incurred to the Project Management Team as well as an analysis and insights on how to lower costs.

• Establishing standards and templates for key project documentation (i.e. meeting minutes, deliverables, etc.) using standard work processing formats (i.e. MS Word, MS Excel, MS Power Point, etc.)

• Assist the Project Management Team in pulling together both internal and external reports for distribution.

• Assist the Project Scheduler in pulling together reports associated with the Project Schedule and following up with project team members on Action Items, Risk and Issue Log items, etc.

• Assist in the printing and duplication of materials required by the project team to facilitate and support meetings and project gatherings.

• Coordination of the catering of food and beverages for project meetings and gatherings.

Required qualifications to be successful in this role
• Well organized (can manage the successful completion of multiple tasks at once)

• Detail oriented (experience reviewing project travel and expense reimbursement reports)

• Proactive (identifies needs and addresses them prior to being told what to do)

• Strong communicator (both written and verbal)

• Proficient in Microsoft Outlook, Word, Excel, Power Point and Share Point.

o Outlook – capable of managing schedules and setting up meeting and email distribution groups

o Word – capable of setting up highly formatted templates for deliverables

o Excel – competent with basic spreadsheet functions

o Power Point – capable of setting up setting up highly formatted templates for presentations

o Share Point – capable of creating and managing new Share Point sites, modifying pages and lists
