Position Description:
CGI Federal is seeking a Management Analyst II (Executive Assistant) to support the Civil division of DOJ in Washington, DC.
Your future duties and responsibilities:
Assist senior management officials within the Office of the Assistant Attorney General (OAAG) and the Office of Management Programs (OMP) with special programs, projects, and unique assignments.
OMP:
• Independently prepare briefing materials for use by the Executive Officer, and other senior DOJ officials in the Division.
• Perform a variety of sensitive assignments relating to administrative policy and operating procedures and carry out special assignments for the Executive Officer and other senior OMP officials.
• Prepare drafts and/or final form material such as memoranda, letters, reports, requests, etc., as assigned. Edit and proofread executive correspondence and memoranda.
• Perform general clerical work including filing, copying, sorting, mailing, arranging meetings, maintaining calendars, preparing reports and documents, and other clerical duties as needed.
Welcome guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.
• Maintain the Executive Officer’s calendar advising him/her daily of upcoming appointments.
• Receive and accurately route all routine internal/external communication (including but not limited to phone calls, emails, calendar appointments, and mail).
• Perform other duties as assigned.
OAAG:
• Read, research, and route correspondence; drafts letters and documents; collects and analyzes information; initiates telecommunications.
• Welcome guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.
• Liaison with various administrative areas, such as human resources, budget, finance, facilities, records management, etc.
• Compose correspondence and emails for routine correspondence.
• Develop and maintain an online filing system, in accordance with the CIV file plan and coordinates archival schedule. Controls the chronological filing system.
• Participate in the onboarding and exiting of the Division's staff.
• Update and manage various email distributions and division listings
• Using E2, administer travel including air, hotel, and car rental reservations, travel authorizations, and expense reports. Compare expenditures and statements, and tracks through reimbursement.
• Manage the local travel expenses, reporting, and records through reimbursement.
• Assemble all background information for reports, meetings, and conferences.
• Review all incoming documents and outgoing memoranda for proper form, accuracy, and compliance with special instructions.
• Perform special assignments and projects, make recommendations and resolve complex issues.
Required qualifications to be successful in this role:
Must possess the following:
• Excellent customer service, attention to detail, proficiency with Microsoft Word applications, SharePoint, and Adobe Acrobat, effective communication, strong writing and organizational skills. Critical thinking, the ability to work in a fast-paced environment, and experience providing administrative support to high-ranking Executives.
• Due to the nature of this government contract, US Citizenship is required.
• Must be able to obtain DOJ issued clearance and meet all security requirements.
The work requires sitting, walking, standing, bending and carrying light items such as papers and files.”
Hourly Rate: $28.79/hour
CGI is required by law in some jurisdictions to include a reasonable estimate of the compensation range for this role. The determination of this range includes various factors including but not limited to: skill set level, relevant experience and training, and licensure and certifications. Compensation decisions are dependent on the facts and circumstances of each case.
