Job Purpose and Summary

Canon’s Shoreditch office is home to one of the newest and most exciting parts of Canon’s 200,000 global workforce : Digital Services. Our 30 person team are building new products and services in exciting ways - using cutting edge technology in a fast-paced environment - for consumers around the world to do more with the photographs they capture.

We are a diverse team of designers, marketeers, engineers, product managers and customer support who speak 12 languages natively. And we’re seeking an Office Coordinator who can not only help us run as a well-oiled machine but keep the team happy.

This role represents an exciting and challenging opportunity for an organised and proactive Office Coordinator to provide administrative, financial management and coordination support to Canon's Digital Services team in central London.

1. Financial - Managing Purchase Orders and invoices and ensuring bills are paid on time, following Canon’s processes to the letter. Tracking spend against budget.

2. Logistics - Being the team’s contact with suppliers – from the cleaners to IT providers to renovation contractors - ensuring everything runs efficiently and quickly.

3. Environment - Generating, capturing and implementing creative ideas for making our environment beautiful and fun, and keeping it safe.

4. People - Organising and facilitating interviews, and onboarding new team hires, ensuring they have all the equipment and support they need.

5. Social - Organising team meals and events and keeping our kitchen stocked.

6. Product - Organising the logistics for customer testing sessions of our products.

7. Travel - Organising travel logistics for members of the team.

8. Other - Other general secretarial and administrative tasks as required.

We're looking for someone with:

Profile:
Good educational background.
Previous office management, administrative and financial coordination experience required, including invoice management and tracking budgets.
Strong service and delivery ethic and effective teamworker.
Experience of working within a diversified European team or multi-cultural environment.

Skills:
Fluency with Oracle accounting/ procurement software (or similar) will be advantageous
Good numerical skills, and confident Excel user (tables, basic formulae)
Strong verbal and written communications
Ruthless organisation and prioritisation
Ability to keep a genuine smile and positive attitude, no matter how busy you get

Good written and spoken English is required, other European languages are a bonus (particularly German, to help us check an occasional translation or customer query!)
