Position Administrator (Part-Time)

Location Witham, Essex

Working hours : Part-time, 20 hours a week. Monday-Friday 10am – 2pm

Responsibility for performing all administrative duties for the International Sales and Co-ordination Team in an efficient, accurate and timely manner as directed by the International Co-ordination Administration Manager.

Responsibilities will include

· Answering and transfer of telephone calls.
· Generation of invoices in a timely manner and to the clients specification.
· Preparation of outgoing Email, and their effective distribution.
· The performance of accurate, efficient and timely administration duties.
· To assist in the achievement of accepted production and quality targets
· To be an active team member of the International co-ordination function
· To carry out other ad-hoc administrative tasks as required by management.
· To communicate effectively and to cooperate with all interested parties both internally and externally in all aspects of the work performed.
· To implement and maintain an efficient filing system.
· Issuance of client reports and invoices electronically and manually.
· To operate within the framework of Inspectorate H&S, Ethics, Fair Trading and Compliance.
· To provide secretarial support as required.
· When required, to compile statistics relevant to work undertaken. KPIs etc.
· Dealing with post and couriers when requested.
· To deal with all queries with a timely manner.

Accountabilities

· The generation of accurate, efficient and timely administration duties.
· To assist, communicate and report to the International Co-ordination Administration Manager on any matter relating to the efficiency of the office, and any deviation from or failure of systems, procedures and established codes of practice.
· To communicate effectively and to cooperate with all interested parties both internally and externally in all aspects of the work performed.
· To assist in the achievement of accepted production and quality targets.

Necessary Skills and Experience

· Excellent keyboard and spreadsheet skills (Microsoft Office).
· Ability to communicate effectively at all levels.
· Ability to work to a high level of numerical accuracy, and to produce reports and documents to a satisfactory level of literacy.
· Ability to work under pressure, within strict time limits.
· Ability to determine and organize priorities.
· Ability to work on own initiative and as part of a team
