Key Responsibilities

· We are looking for a confident, efficient, secretary to support:
· Global Head of Global Dispute Resolution
· Support other Assistants as required
· This person will primarily support the Global Head of Group Dispute Resolution, whose time is split approximately 50:50 in London:Paris.
· This person will also be required to support, on an ad hoc basis, the Litigation & Legal Investigations team in the UK, comprising 4 lawyers and an assistant.
· This person will be highly organised, independent and able to prioritise. Excellent communication skills and confidence are required when interacting with the business groups and other legal teams and a bilingual English/French speaker is preferred.

Reporting to:

· Global Head of Global Dispute Resolution
· Office Manager.

The main tasks of this role are:

· Diary management for the Global Head of GDR.
· Communication with members of the GDR in Paris and worldwide.
· Arrange meetings, conference calls, video conferences – external and internal.
· Typing and preparing documentation, scanning, emailing and printing.
· Travel and hotel bookings through the in-house travel office and organising relevant visa applications.
· Processing expense claims.
· General office duties – telephone, mail, filing, archiving, IT arrangements, courier arrangements.
· Ad-hoc duties as required.

Also required for the ad-hoc support of the Legal & Legal Investigations, UK and CIBLERA teams:

· Processing and monitoring of legal invoices, liaising with vendors and Accounts.
· Reporting on legal fees to both the legal teams and the business.
· Monthly and quarterly reporting of litigation cases to Management.
· Organisation of seminars and talks.
· Powerpoint presentations, Excel spreadsheets as required.
· Setting up new joiners/secondees/interns/visitors.
· Processing PPI complaints - communication with BNPP Lease Group, other BNPP subsidiaries and responding to the client.
· Organising the printing and binding of documentation and training material.
