Role Description and purpose

The successful candidate will be responsible for providing support to the Executive Assistant and Global CEO Office.

Key responsibilities

Duties will include but not be limited to:

· Travel management including visa applications, booking accommodation, flights, transfers, restaurants
·
Preparing overseas itineraries including issuing boarding passes, booking taxis in London and overseas

·
Booking meeting rooms and arranging meeting logistics including coordinating visitors, arranging refreshments, assisting with dialling in to calls, connecting video conferences

·
Checking attendance for regular committee meetings

·
Compiling and printing meeting packs (agenda, biographies, Board papers, briefing notes, etc)

·
Making sure Exec Whereabouts for the ExCo Team are updated on a weekly basis

·
Managing expense forms and invoice processing

·
Populating and maintaining the CEO's contact list and proactively updating mailing lists and contact databases

·
Responding to telephone queries in an efficient and professional manner and taking accurate messages

·
Provision of holiday and Wednesday office cover for the EA to Global CEO

·
Telephone cover for the London-based Exec team

·
Event management e.g. quarterly Townhall: coordinating international venues, and ensuring prior logistic test are carried out for satisfactory sound / visio quality

·
Occasional typing of presentations, speeches and letters

·
Performing general administrative tasks, e.g. faxing, printing, photocopying, stationery and business cards ordering, courier booking, post distribution etc.

Liaising with Office Manager for facilities related issues

·
Occasional support for overseas direct reports of the Global CEO when visiting the London office

·
Any other ad hoc duties as required

Role Requirements

Essential skills/competencies (TEchnical / behavioural / leadership)

Excellent organisation skills with proven experience of staying calm under pressure

·
Ability to familiarise quickly with key internal and external contacts

·
Comfortable working independently

·
Proactive and a positive attitude; able to look ahead to avoid / address issues

·
Logical with a strong attention to detail

Excellent communication skills

·
Ability to work in an international environment

·
Must have a flexible approach and a strong work ethic

Keen to learn

·
French language skills are not essential but would be good to have

Essential qualifications & experience

·
Previous secretarial experience required, ideally in financial services environment

·
Word/Outlook: intermediate level

·
Excel/PowerPoint: basic level
