What you do
The Procurement and Facilities Manager is responsible for managing all procurement activities across the functional contracts /spend for (Australia and New Zealand) and all property and facilities related matters at Allianz Partners. This includes purchasing, strategic sourcing, category management, value and performance management, policy management, governance & compliance, outsourcing, strategic planning and forecasting, ensuring the effective and efficient running of the facility, including, but not limited to acting as the Local Environmental Officer, ensuring the contractual and regulatory obligations relating to the property are met (e,g, fire safety, security, property maintenance), ensuring the facility meets the business’s needs, managing the property lease and sublease contract arrangements.
Key responsibilities include:
Portfolio Management
• Ensure a value management framework is in place for all key contracts measuring quality and commercial performance in comparison to contract SLAs & KPIs / previous years & suppliers / external benchmarks.
• Work with Business Owners to manage any under-performing suppliers to improve performance and drive change where necessary.
• Recognise high performing partnerships and foster these relationships.
• Ensure the property lease is effectively managed,
• Working closely with the property managers, including meeting quarterly
• Maintain a portfolio of suitable suppliers and service providers for facilities related activities
• Provide reporting and performance updates for key internal stakeholders.
Compliance
• Ensure all contracts and relevant documentation such as insurances and licences are in place.
• Manage Vendor Integrity Screening for AWP AU to ensure 100% compliance and report on this to Group.
• Ensure alignment with the Group Procurement and Outsourcing policy.
• Manage the reporting and initiatives relating to compliance with Modern Slavery requirements
• Support the functionng of the local Outsourcing committee
Strategic Sourcing
• Manage the Strategic Sourcing Schedule to best support the business needs and efficiency targets.
• Manage all strategic sourcing for functional and specified network activities to ensure best solution and value for internal stakeholders. Activities include defining requirements, planning and assessment, stakeholder assessment and engagement, benchmarking, tenders and supplier selection, negotiation, contract execution, transition, relationship / contract management, record keeping.
Financial Management
• Manage the expense base for all functional spend to ensure supplier payments are paid according to contracts and meet
internal requirements, drive efficiencies and deliver on all annual targets. (Continuously challenge existing cost base to see
where efficiencies can be achieved).
• Manage all rebates, savings and revenues for all functional spend to deliver on all annual targets.
• Forecasting and managing the Facilities budget effectively
• Provide reporting on performance for Allianz Group as required.
Sustainability
• Act as the Local Environmental Officer for the Australia BU
• Manage the reporting of Group set Environmental reporting
• Drive initiatives which support sustainability in both Facilities and Procurement
• Drive Modern Slavery reporting and related initiatives
As the successful candidate for this role, you will be able to show:
Qualifications/Experience
• Tertiary Business Qualifications preferred.
• Demonstrated senior operational and people management experience
• Insurance or Financial Services Experience
• Environmental reporting experience preferred
Communication
• Well-developed liaison and communication skills and the capacity to negotiate and resolve conflict with clients, staff and management
• Demonstrated presentation and training skills
• The ability to inspire team members and stakeholders
Results Orientated
