We are seeking a highly organized and proactive Office Manager to join our Allianz Consulting team. In this role, you will play a key part in managing the day-to-day operations of our office, ensuring smooth and efficient processes. As an integral team member, you will be responsible for overseeing administrative tasks, coordinating schedules, managing the stock of IT and marketing material, and maintaining a productive work environment.

 

Responsibilities:

·  Oversee all office operations, including managing office supplies, equipment, and facilities.
·  Support the planning, coordination and execution of internal events and activities.
·  Manage and coordinate stock of IT and marketing material (e.g. giveaways), including ordering and preparing equipment for new employees.
·  Manage and maintain office budgets, track expenses, and process invoices.
·  Handle incoming and outgoing correspondence, ensuring prioritization and timely responses.
·  Liaise with building management and external service providers to address any facility-related topics.
·  Develop and implement office policies and procedures to enhance efficiency and ensure  compliance with safety regulations
·  Foster a positive work environment, promoting teamwork and supporting the Business Enablement team tasks.

·  Organizational Talent: As an Office Manager, you must possess exceptional organizational skills to effectively manage various administrative tasks, coordinate schedules, and maintain office operations. A keen eye for detail, strong time management, and the ability to prioritize tasks are essential to work in our fast-paced environment of Consulting.
·  Full-time Availability: This position requires a full-time commitment to ensure the smooth functioning of the office. As an Office Manager, you will be responsible for overseeing daily operations, handling employee requests, and managing administrative duties. Your presence and availability during regular office hours are crucial to maintaining productivity and addressing any urgent matters promptly.
·  100% Office Presence: The Office Manager role requires you to be always physically present in the office. This is important to facilitate effective communication, build relationships with colleagues, and provide immediate assistance to employees as needed. Your presence in the office also helps foster a positive work environment and promotes collaboration among team members. 

 

Qualification and Experience:

·  Proven experience as an Office Manager or in a similar administrative role.
·  Excellent organizational and multitasking abilities with a keen eye for detail.
·  Strong written and verbal communication skills
·  Proficient in Microsoft Office Suite and other relevant software.
·  Ability to prioritize and handle multiple tasks in a fast-paced environment.
·  Attention to detail and ability to maintain confidentiality.
·  Familiarity with basic IT troubleshooting and equipment setup.
·  Solid problem-solving skills and the ability to work independently.
·  Knowledge of office management procedures and basic accounting principles.
·  Possess excellent oral and written communication skills in English (C1 level). German is a plus.
·  Bachelor’s degree in business administration or a related field is preferred.
