A Trade Mark Administrator (12m FTC) opportunity has arose with my client, a reputable and well known law firm based in Birmingham…


·  £20,000 p/a depending on experience

·  Location: Hagley Road, Birmingham

·  Office based

·  Full time: 36.25 hours per week, Monday - Friday, 9:00 - 17:15

·  On-site parking

·  25 days holiday + bank holidays

Duties & Responsibilities:

·  Allocate incoming correspondence ensuring documentation is sent to fee earners, Records, Renewals and Accounts as appropriate and on a timely basis

·  Ad hoc diarising of certain deadlines for example, those relating to the trade mark watching services, requests for advice on potential oppositions, cease and desist deadlines, client imposed deadlines

·  Prepare and file UK, CTM, foreign and International Applications including all forms and required documents and update the due dates

·  Open files, input initial information to Records system, maintain in good order and close/destroy as necessary

·  Monitor charging of cases and prompt the fee earner as required. Add service charges to billing system and prepare invoice requests and invoices, report and charge out

·  Proactively produce standard and non-standard correspondence to clients, overseas Attorneys and National trade mark Offices

·  Liaise as required with other departments to include Records, Renewals, Accounts and Support Administration

·  Maintain and operate various Trade Mark, Company Name and Domain Name Watching Services in conjunction with the responsible attorney, which includes the annual renewal of the services and reporting notifications to clients

·  Basic on-line searching of trade mark databases and general internet research

·  Interrogate and produce reports from the records systems as required

·  Provide support and cover to the support administration team as directed


·  Ideally holds a degree

·  Possession of or studying towards CITMA Trade Mark Administrator examination

·  Possess a comprehensive understanding of the end to end IP process- filing, prosecution and the registration of Trade Marks, and all actions associated with each stage of the process

·  Up to date knowledge of all relevant laws and law updates

·  Up to date with CPD requirements as appropriate

·  Good IT skills to include excellent and accurate typing skills and experience of using Microsoft Office to include Word, Excel and Outlook and a possess a basic overview of PowerPoint

·  A thorough working knowledge of filing and managing correspondence through the UK, EUIPO and WIPO websites

·  Fully conversant with Progressor and Worksite

·  Possesses an appreciation of the firm's client account

·  Awareness of UCDs, WIP and the requirement to charge out

·  Awareness of records and renewals processes
