Job Purpose
To work under the direction of the Programme Manager and in consultation with the Project Manager and Head of Education and Community Partnerships to provide full administrative support and project coordination for the summer school programme.

Duties and Responsibilities

1.To support the summer school programme by providing a professional and welcoming first point of contact for students, their parents, their teachers and academics and in response to email and phone enquirers proactively contact people across and outside of the organisation, at all levels, to progress work.

2.To liaise informally with students providing information about life as a university student to encourage them to participate in the summer school programme.

3.Organise and minute meetings with academics, external employers and agencies with the Programme Manager, taking accurate notes and recording key action points.

4.Take responsibility for coordinating the logistics of the summer school student recruitment process by taking bookings, recording student details accurately, prepare and send out standard confirmation letters and marketing material, maintaining confidential and accurate administrative records.

5.Develop and maintain processes and systems; maintain comprehensive filing systems both manual and electronic, keeping records up to date. Monitor and maintain data on safeguarding and risk assessments.

6.To be responsible for distributing, collating and analysing pre and post course evaluations ensuring that data is accurately inputted into the database in order to measure the impact of each summer school programme.

7.To play an active role in the development and maintenance of efficient and effective administrative systems in relation to the Summer School.

8.Support and liaise with the academics in the reproduction and distribution of teaching materials and any other requirements that they deem necessary.

9.To support, monitor and provide effective communication with the ambassadors on each summer programme. Distribute contracts, process payments and liaise with them regarding training and rehearsal days, keeping their timetables up to date.

10.Be responsible for the overall logistics of the summer school programme by organising and preparing resource packs, i.e. stationery supplies, programmes, course evaluations. Arrange security passes, organise goody bags, charge and set up computer equipment i.e. tablets, design and print business lanyards and completion certificates, confirm room bookings and book catering/purchase food on behalf of and under the general direction of the Programme Manager.

11.Monitor finances keeping accurate records of expenditure, process petty cash and travel reimbursements and catering/food purchases.

12.Compile a database of local schools and college with contact details for marketing and ongoing relationship development

13.Use IT systems including Microsoft 365, Outlook, Word, Excel and PowerPoint to distribute correspondence, design forms and update and maintain administrative records.

14.Work flexibly from Docklands Campus and also in an outreach capacity.

15.Undertake any other duties at the request of the Programme Manager that are commensurate with the post.
