JOB TITLE: Scanning & Index Control Assistant
LOCATION: West London
PAY RATE: £15.26 hourly PAYE
START DATE: ASAP
DURATION/Hours: 3-month initial contract/ 35 hours a week
IR35 STATUS: Inside
Purpose of the role:
· Sort, prepare and batch all incoming post for scanning.
· Scan all incoming post within agreed timescales and standards.
· Index all incoming post within agreed timescales and standards.
· Dispose of scanned documents in the appropriate manner.
· Ensure that all invoices are checked, verified, and paid in accordance with agreed processes, procedures, and timescales.
Duties and responsibilities:
· Acquire an understanding of the appropriate back-office computer system in order to make general enquiries against incoming post to ensure that documents are correctly scanned and indexed
· Acquire an understanding of the appropriate scanning and indexing software application to ensure that documents are correctly scanned and indexed.
· Open and sort all incoming post and allocate the relevant document type
· Ensure that any post that has to be redirected to another section is clearly marked with the destination address.
· File daily scanned documents clearly labelling all boxes to show contents. Stack boxes with due regard to Manual Handling procedures.
· Arrange disposal of boxed documents after an agreed period following GDPR/Data protection requirements.
· Index documents to the correct work queue/case/supplier following agreed processes and to agreed timescales.
· Register claims on NEC where necessary in accordance with work instructions
· Log all original valuable documents and cheques received daily.
· Deal with service areas queries with regard to any Benefits specific queries either in person or on the telephone.
· Ensure that all invoices are in a form that complies with regulations and procedures and with statutory requirements, particularly as directed by the Government's Revenues & Customs and by the European Union.
Knowledge and experience:
· Computer literate - windows, email, MS Office products and scanning and indexing applications
· Strong organisational & administrative skills
· Strong attention to detail for invoice verification.
· Previous experience within an Accounts Payable setting using financial IT systems/packages
· Experience in the effective use of using scanning and indexing software application/document management system
