Responsibilities and Duties:

·  Co-ordinate input to help make sure payroll delivered on a monthly basis.

·  Regular update of Ciphr pay links and checking new joiner administration in conjunction with the Recruitment team who issue offer letters, contracts and new starter checklist details.

·  Processing Staff Change forms for pay changes, hour changes and department/manager

·  Implementing pay increases as a result of the annual pay round, promotion, and progression increase for job families on anniversary of appointment.

·  Process applications for season tickets. Ensure that all staff is made aware of the conditions attached to loans so there can be no doubt that it will need to be repaid on leaving the Museum.

·  Taking staff off the payroll when they leave and recover any existing loans/ qualification's fees

·  Provide advice and information to staff and managers in relation to enquiries on pay, pension, sick absence and HR policies and procedures.

·  Maintaining the Ciphr diary.

·  Sort out sickness data on Ciphr before this goes to payroll. Sort out childcare on a monthly basis.

·  Add purchase orders to Focal Point.

·  Verify changes of bank details on Ciphr-Net and notify payroll accordingly.

·  Annual leave calculations.

·  Involvement in discussions about system improvements, policy and procedures, etc.

·  Assist to support the monthly payroll audit.

·  Processing of volunteers expenses from start to finish.

·  Adding new starters to volunteer payroll.

·  Check pension options for new starters based on individual circumstances.

·  Support other staff and Rewards & Benefits Manager during holidays/sickness.

Role Competencies

·  Experience in HR/Payroll.

·  Good practical understanding of payroll/HR processes. Ability to develop/experience would be an advantage. An understanding of pension schemes and procedures. Understanding of sick absence payroll administration. (Caroline to do too but good to have in so more than one?)

·  Experience on CIPHR & CGI databases preferable and other systems.

·  Able to prioritise workloads and work towards monthly deadlines.

·  Advances problem solving skills.

·  Ability to communicate clearly and effectively both verbally and in writing to all levels.

·  Good IT skills.

·  Understands and is able to clearly and simply articulate answers to queries involving HR data, policies and systems.

·  A high level of accuracy and a methodical, organised approach to work.

·  A proactive, collaborative, flexible approach with good team-working skills and the willingness to deputise for and support the Rewards and Benefits Manager.

·  Recognises the need for due diligence, confidentiality and discretion in the role around the use of data and managing queries. Understands the need to adhere to the relevant legal framework around the processing of payroll data and related work.
