Overall purpose of the job:
To assist with all administrative aspects of the recruitment and selection process to the University,
providing advice and guidance to applicants and managers on associated policies, procedures
and processes ensuring that the University provides a 'best in class' applicant experience.
Key Responsibilities:
· Take ownership of the vacancy and the management of applicants through the appropriate
advertising stages (redeployment, internal, external) to the completion stage (offer of
appointment) ensuring that People & OD Operations Standards are met.
· Ensure job descriptions, person specifications and job advertisements are in line with
corporate standards prior to advertising a vacancy.
· Ensure that all posts have been graded in line with the provisions of the University's HERA
Job Evaluation Scheme before they are advertised, liaising with Schools to facilitate this
process where necessary
· Assist in the drafting of job advertisements and arranging the placement of job
advertisements in the appropriate media and in line with the University's 'employer brand'
· Act as a key point of contact for applicants, Operational Managers, People & OD Partners
and Recruitment Agencies. Providing advice and guidance in relation to the University's
recruitment and selection (and associated) policies and procedures, responding to queries
and requests for information and documentation (these may be in person, over the
telephone or in writing/email or via Jobtrain)
· Maintain our enquiry systems, Jobtrain, the computerised People & OD Operations/Payroll
system, and any other IT solution in relation to the recruitment process, including editing
and uploading content and the maintenance of folders within the People & OD Operations
systems
· Create and run reports from Jobtrain and/or the People & OD Operations/Payroll system
as required.
· Under the direction and guidance of the Recruitment & Resourcing Officer or the
Recruitment Co-ordinator, work on specific projects related to the teams' work priorities for
example: immigration; employer brand; the future development of eRecruitment /applicant
tracking systems; equality and diversity
· Maintain confidentiality of information and protecting personal data in line with University
procedures
· Assist in the review and continual development of the recruitment and People & OD
Operations function, contributing to the promotion of a culture of continuous improvement.
· Support team colleagues across People & OD Operations for example liaising with the
Starters Team to collate recruitment information required for the successful candidate at
offer stage; providing cover when required on People & OD Operations Reception;
participating in the DBS/Research Passport rotas and updating associated records
· Positively promote equality and diversity, ensuring duties are carried out in accordance

themselves with the University's Equality and Diversity policies and to actively support
these wherever possible
· Undertake any other duties commensurate with the responsibilities of the role as directed
PERSON SPECIFICATION
Essential Knowledge, Skills and Experience
· Experience of working with administrative processes in a high volume, process-driven, and
customer-facing office environment
· An approachable team player, who demonstrates the ability to be flexible and willingness
to provide support for colleagues
· Excellent communication skills (in person, on the telephone and in writing), demonstrating
an ability to listen to and advise a wide range of people clearly and concisely
· Delivers excellent customer service by taking ownership, being flexible and responsive to
customer needs, and providing helpful information and advice, whilst maintaining
confidentiality
· Good organisational skills, and able to prioritise work in a busy environment and meet
service standards requirements and deadlines, remaining calm under pressure
· Demonstrates diligence, accuracy and attention to detail, and understands the importance
of getting things right first time
· Interest in and confidence in using IT systems; experience of using Microsoft packages
(Word, Excel, Outlook, and Access)
· Demonstrates a commitment to the University's values, understands the importance of

Desirable criteria
· Knowledge and/or experience of recruitment and selection processes and activities,
including DBS screening and right to work procedures
· Working knowledge of relevant legislation
· Previous experience using enquiry systems and/or eRecruitment/Applicant Tracking
systems
