Installations and small works coordinator

This role involves working with the Installation Manager in the coordination of Small Works and Installation Projects. Planning Engineer/Contractor attendance, raising purchase orders and arranging access and attendance to site with the Client.

Location; Harrow

Salary; £20,000 - £25,000 per annum.

Working hours; 08:30-17:00 Monday to Friday

Responsibilities;

·  Managing telephone enquiries for Small Works and Installation Projects (excluding Sales).

·  Managing the Installation outlook mailbox.

·  Daily review and proactive management of Installation & Small Works depots

on our internal system.

·  Preparation and submission of pre-install questionnaire to Client upon receipt of a signed Small Works or Installation order.

·  Preparing an Installation pack for the Installation Manager, upon return of pre-install questionnaire.

·  Obtaining panel templates, where appropriate from Suppliers.

·  Obtaining panel template approvals, where appropriate from Clients.

·  Booking access with Clients for Engineer/Installation visits.

·  Raising purchase orders to contractors.

·  Dispatching jobs with all relevant paperwork to Engineers and Contractors.

·  Attaching Contractor reports and commissioning sheets to the relevant jobs on the internal systems.

·  Daily Reporting to Clients on completion of Small Works and Installation Projects.

·  Submission of project completion packs to Clients and Client Satisfaction questionnaires.

·  Adding warranty periods for equipment to internal system.

·  Processing Contractor invoices against raised purchase orders.

·  Populating & managing reports for the Installation Manager.

·  Maintaining an accurate Small Works Quotation tracker and ensuring updates are recorded daily.

·  Support Installation Manager in carrying out retention/customer satisfaction surveys.

·  Attend weekly Installation meetings.

·  Generation of sales leads.

·  Using the internal quality system to log and resolve internal & external issues relating to installations.

·  General administration duties including scanning and filing.

Areas of accountability;

·  Liaise with other Departments within the business to help ensure the smooth and efficient passage of high quality information and data.

·  To help maintain (and improve) company procedures in accordance with the Health & Safety and Quality Management System.

·  Meet KPIs for Small Works and Installation Projects.

Requirements;

·  A good basic standard of education: Ideally 5 GSCE passes or equivalent

·  A minimum of 2 years administration experience in an office environment.

·  Coordination experience required, booking appointments and managing customer expectations.

·  Intermediate level Microsoft Office (including Outlook, Excel, Word).

·  Good verbal and written communication skills.

·  High level of Customer Service experience.

·  Good communicator, confident when dealing with strong customers (both internal and external).

·  Consistent in approach to engineers and customers.

·  Ability to work as an individual and as part of a team.

·  Attention to detail, accurate, reliable.

·  Flexible approach, willing to learn new skills on the job.

·  Organised, ability to prioritise and manage multiple responsibilities simultaneously.

·  Ability to work well under pressure.
