Business Assistant

An exceptional opportunity to join our forward thinking client in Ipswich, who will offer you fantastic training, support and a vibrant working environment.

Role Purpose: To assist in the day to day running of the project management database. You will be an expert in the Business Management database and will produce periodic reports and will assist in analysing the outcome. You will be responsible for providing administrative assistance to all staff and will be responsible for invoicing. Reports to the Business Manager.

Accountabilities

·  Provides effective support to the Business Team

·  Responsible for setting up and maintaining business management database daily, ensuring accuracy and information is entered to agreed timescales.

·  Produces client fee documentation and manages the process from enquiry through to contract

·  Raises invoices to clients and deals with purchase orders

·  Resolves invoice queries with clients

Runs periodic reports and assists with analysing project financials (current and budget) from initiation through to completion

Maintaining client data

Assists with database analysis, resolves abnormalities

·  Monitors processes to ensure KPI's are met and assists with K.P.I's reporting

·  Writes tender submissions and produces fee proposal pack for clients

·  Answers internal and external queries in a professional and timely manner

·  Working closely with the business team to ensure a high level of accuracy and organisation is achieved

·  Assist and support the Business Manager and provides support to all colleagues

·  Builds good relationships with colleagues and clients

·  Business delivery

·  Sensitivity when dealing with confidential information

·  Effectively manage own time, workload and resources

·  Strong attention to detail and a high level of organisation

What you need to know

·  Good standard of literacy and numeracy

·  Telephone Skills

·  IT Skills: MS Excel, Word and Outlook

·  Finance experience preferable

·  Excellent communication skills across a range of contacts.

·  Awareness of confidentiality and data protection requirements

·  Ability to multitask and organise self and others
