My client based in Burneside is looking for an Office Assistant to work in their offices for 32 hours per week (over 4 or days 5 days per week). £14,000 per annum on a pro rata basis (£8.42 per hour).
Job Purpose:
Provide efficient administration and support in the General Office including switchboard, reception, despatching incoming and outgoing mail, purchasing of all stationery supplies and supporting the HR team.
Key Accountabilities:
· Providing administrative assistance as part of the General Office including:
· Provide a confidential administrative service to the HR team
· Administration of pool and hire cars.
· Updating personnel records and report writing using the HR KCS system.
· Dealing with requests from all areas of the mill, distributing and stocking / ordering of replacement stationery stocks from outside suppliers.
· Assisting with the administration of the recruitment and induction process
· Distribution of monthly payslips
· Completion of various monthly reports for the HR Department
· Maintains an up to date procedure file
· Assists with the administration for internal changes and moves
· Mail merges
· Responsible for arranging the annual Long Service Award presentation and lunches
· Maintains log books and Personal Protective Equipment for visitors
· Responsible for the administration and organisation of Work Experience placements
· Maintains the Company Organisational Chart
· Provide administrative support for Mill tours
· Maintains the Drivers Register and ensures records are kept up to date
· Keeps relevant records in relation to the 48 hour Working Time Regulations
· Responsible for the operation of:
· Switchboard
· Reception
· Despatch of mail
· Couriers
· Organising meetings and room bookings as required
· other services provided by the General Office
· Contributing to the effective health, safety and environment of the General Office.
· Fire Monitor for the HR Department
