Shift pattern: between 08:00 - 18:00; Mon - Fri

Reporting to the Deeds Team Manager, you will be providing a deeds management service to the Real Estate Partners and Associates at CMS CMNO. The role will involve deeds scheduling; the creation, updating and management of extranet sites; and requesting and updating deeds packets. The work undertaken by the role holder is completed in line with the Service Level Agreement and Statement of Work agreed between CMS CMNO and Xerox.

Responsibilities

Customer Service

·  To demonstrate pride and professionalism in all aspects of customer service

·  To develop excellent working relationships with clients, demonstrating strong communication skills

·  To consistently exceed client expectations by providing outstanding customer service

·  To relate accurate information to users on the progression of their work

·  To seek feedback on client satisfaction

·  To build relationships with clients and manage their perceptions and expectations

·  Scheduling deeds and updating deeds packets as requested by clients

·  Checking incoming deeds against schedules prepared by counterparty's solicitors

·  Ensuring the tracking of deeds packets as they travel around CMS CMNO

Operational efficiency

·  Assisting Partners and Associates with the creation, updating and maintenance of extranet sites

·  Requesting and returning deeds to/from storage

·  Creation of new deeds packets and entry of records onto the records management system

·  Undertaking project work as directed by the Partner or Associate of CMS CMNO or the Deeds Team Manager

·  Use of various records management systems and software packages

·  Active management and manipulation of deadlines to ensure a high level of service delivery and offering alternative solutions when necessary

·  Assistance with reporting tasks to support the Deeds Management Team Leader

·  Any reasonable ad hoc duties as required by management

·  To comply with the Client Account Procedures Manual (CAPM), SLA's and H&S regulations

·  Capture and relay to the relevant teams all action points arising from customer feedback and team meetings ensuring continuous improvement to customer standards

·  Drive Best Practice standards within the Deeds Management Team

·  Ensure effective two-way communication with the team and clients

·  Work together with the management team to help maintain a productive working atmosphere, which promotes teamwork and commitment to daily production

·  Support Xerox culture by living the values and leading by example

·  To assist in the training and development of operative staff in appropriate work methods

·  Record time accurately in relevant systems

·  Prioritise work appropriately and in line with agreed deadlines

·  Maintain a tidy work area and implement a clean as you go policy
