This role is Front of House and first point of contact for all incumbent tenants, clients, visitors and incoming calls. This position will offer a first-class professional service and welcome on behalf of the company. This role will also be the main support to the Facilities department and secondary admin support to Business Development. The candidate in this role must be immaculately presented and punctual.
Main Tasks and Responsibilities:
Reception
Demonstrate professionalism at all times
Be courteous, friendly and efficient whilst meeting and greeting visitors
Offer refreshments and cloakroom service on arrival
Brief all visitors on health and safety guide
Answer, transfer calls and take messages via switchboard
First point of contact for sub tenant - queries, maintenance issues, complaints etc.
Housekeeping - maintain general upkeep, ensure reception, kitchen and break out space are always tidy
Update the holiday calendar
Update the SharePoint contact list with new starters and leavers
Distribute the whereabouts of key personnel weekly
Arrange travel through dedicated travel agent
Book hotels for staff accommodation
Order taxis/hire cars
Procurement - reception flowers, catering, stationery, other supplies
Meeting room set up to include video conferencing, lunches, flip charts, stationery etc.
Receive and distribute incoming mail, frank outgoing mail
Manage all meeting room bookings for staff in Outlook diary
Management of allocated car parking, visitors and issues with
unauthorised parking
Manage any issues and resolve them as they arise in a calm, professional and efficient manner
· Updating all reception files, policies, procedures, handbooks, notes, telephone lists regularly
Coffee machine - nightly cleaning of coffee machine, logging service issues, topping up supplies as necessary
Facilities
· Support the Facilities department on all tasks
· First point of contact for day to day operations
· Logging office and maintenance faults and apply corrective action
· Ensuring all service provider contractors on site follow procedures
· Take monthly meter readings
Issue new door access passes and making amendments using C Cure system
Liaise with cleaners on daily basis, leave messages in cleaner's book, pass on any feedback to Facilities Manager
SHEQ support - assist in logging hazards, inspections, audits, reports etc.
Undertake fire marshal or first aid responsibilities
Extract weekly reports from C Cure database for out of hours activity and send to FD and FM
Out of Hours call out responsibilities
Business Development
Assist with formatting project documents as requested by Business Development
Administration support, processing of documentation and projects as required
Assisting with events if requested
