JOB PURPOSE

The Buying Department is responsible for sourcing, purchasing and introducing new, innovative and industry/market leading products.
It is the responsibility of each team to ensure that each product is managed efficiently in to the business following selection. The cost should be negotiated, packaging agreed, products tested, instructions organized, sales estimates confirmed and ordered, and intake organized and tracked. Every product must delight the customer.
The Assistant Buyer maintains responsibility for each item until the point of arrival
PRINCIPAL ACCOUNTABILITIES
To be the link between the Buyers, who source the products and the merchandisers who control the day to day stock ordering
It is an administrative/coordinating role that involves ensuring the specification of new products is correct and up to our exceptionally high standards
You will ensure that communications with our suppliers are efficient, swift and thorough to ensure that each product is right first time
You will be heavily involved with the progression of new products sourced by our buyers from requesting samples and copy notes for our marketing department to initiating product packaging. You will also ensure products come 'on stream' on time, are the right quality, and the prices quoted enable us to offer the best possible value for money and to ensure that we are competitive with the market place.
You will be an excellent communicator, constantly building working relationships, both internally and externally, in person, by telephone and email.
A good working relationship between all Assistant Buyers is critical, as you will need to support each other, particularly in absences. While it is understood everyone will have their own method of working, it is important to appreciate how others operate so in times of cover you know what is going on and can slot in and help out without any problems.
You will deal with many suppliers. You will set standards and encourage them to work to our practices. You will communicate effectively the product sourcing standards we strive for from our suppliers.
Before and after selection you will be involved in checking the quality of products and thoroughly testing them where necessary. You will also monitor instructions for use and ensure that any required amendments are incorporated.
As a department you will work to the buying schedule which is a critical path, highlighting where everyone should be in the flow of things. It is essential you know your part of this schedule as failure to meet your deadline through poor planning could cause serious implications
After the product selection meeting, load the new products to our system with the relevant buyer.
Co-ordinate and conduct estimating meetings with the buyers, merchandisers and merchandising manager.
Part of the role is also to support the marketing department, supplying products for photography, and copy notes for all the catalogue copy (for which we are renowned). Catalogue production is deadline driven and in order to meet print dates you will have to liaise closely with marketing regarding all your products.
Ensure information is received on the new products and confirm product details e.g. cost price, lead time, minimum order quantity, packaging, delivery requirements, payment terms. Negotiate on any aspects necessary in order to achieve the best solution for Lakeland. Conduct postal tests where necessary.
Ensure we have received a new product fact sheet (to assist the copy writers), packaging waste sheets and have issued the essential information for suppliers.
Brief the packaging designers with artwork requirements
Ensure we have received the new product contract signed by the supplier for each product
Chase the copy sheets for catalogue production and hand over the file when complete. Hold a product awareness meeting with catalogue production to show them all new products.
Chase production samples for all new items and approve them. Resolve any problems that arise at this stage.
Ensure all samples are to brief the agency and for the filming of a product training video.
Check the colour proofs of the catalogue provided by catalogue production to ensure that the information is correct.
Conduct product training sessions with key staff from the distribution centre to ensure that their knowledge on product quality is passed throughout the organisation.
Attend returns review meetings, assisting the Merchandiser with any follow up actions to resolve product issues
Enter the packaging waste details onto the system, along with any other required documents
Chase the suppliers to ensure timely delivery of the new products.
Assist people in buying department wherever necessary.

KNOWLEDGE, SKILL AND EXPERIENCE REQUIRED
The job holder will be an articulate, effective communicator with an ability to deal diplomatically at all levels, both internally and externally.
Will possess excellent planning and organisational skills to ensure tight deadlines are met.
Is able to prioritise and manage their own workload.
Understands the importance of meeting deadlines, managing expectations and keeping the team informed.
Have the ability to work on his/her own as well as fit into a small established team.
The job holder must be able to effectively and quickly organise and re-organise their workload in order to meet deadlines and frequent changes in priorities.
Will be challenged by a fast pace role with a high interruption level.
Have a broad knowledge of computer systems and in time our internal software system.
Able to demonstrate a creative, innovative approach to problems.
Have proven negotiation skills.
Have an understanding of a multi channel retail business and an interest in product
Educated to 'A' level standard or equivalent.
A conscientious approach to work will be required and the job holder will on occasions have to work beyond normal hours.
