Main duties and responsibilities
*Provide secretarial and administrative assistance to Youth Work and Youth Support Service staff.
*Receive and filter all incoming messages and/or refer calls as appropriate, provide a reception and booking desk as appropriate to the location, deal with incoming and outgoing post.
*Give up to date information to the public and officers on the work of the Services and ensure that information data is kept up to date.
*Type reports and correspondence as necessary, prepare mail merges and undertake mailouts.
*Maintain accurate and up to date records and filing systems.
*Maintain leave, timesheets and other personnel records for all staff
*Keep the weekly staff attendance records up to date and submit to HR.
*Process recruitment and other personnel paperwork including safeguarding and DBS checks
*Keep financial records and deal with financial procedures, including raising orders and maintaining petty cash as necessary.
*Order and stock stationery and other materials and equipment as required, including maintaining minimum stock levels.
*Input data to Client Databases, pull off simple reports and spreadsheets
*Produce publicity material and other marketing materials and update web pages about the service
*Raise and monitor building repair requests.
*Maintain IT office equipment in good order, keeping inventories up to date, loaning out items as required, reporting problems to relevant Council departments
*Maintain a friendly, tidy hospitable environment
Experience and knowledge
*Experience of providing secretarial or administrative support in an office environment
*Competence in general admin and secretarial work, which must include writing emails, letters, memos, and producing reports and tables
*Word processing skills
*PC skills and experience of using Microsoft applications including Word, Excel and Outlook
*Experience of and competence in financial recording, handling cash
*Experience of setting up and maintaining electronic filing and record systems
*DBS check is highly desirable
