Key tasks

Summary of Responsibilities:

Responsibilities and essential job functions include but are not limited to the following:

Compose and type routine letters and memorandums when the need arises.
Answer telephone calls courteously and efficiently.
Dispense with all correspondences for the department (incoming and outgoing) promptly and efficiently, including assisting to clear of the pigeon box in the Administration office are regular intervals.
Monitor and track trace system for the department thereby ensuring that all pertinent matters are actioned on time.
Set up and maintain relevant files for reports, catalogues and manuals, training, etc.
Maintain a cordial approach towards all incoming staff enquiries.
Ensure filing away of all documents without a reasonable manner of time.
Timely preparation of all relevant reports for the department, set up a calendar system for follow up on reports on a timely basis when due.
Assist in coordinating the holding of monthly General Staff Meetings and final meeting at Year end, facilitating all administrative requirements in respect of these meetings and that of Staff Awards.
Assist in coordinating & organizing of Staff held special events during the year when scheduled, for example, half-yearly sports days, relevant competitions, staff parties, etc.
Maintain strict confidentiality on all staff related matters and any/all matters concerning the Talent & Culture Office.

Previous experience in customer service
Strong administration and communication skills
Demonstrated attention to detail, while multi-tasking and delivering work on time
Ability to work productively despite multiple interruptions
Demonstrated trust and confidentiality as a member of the Talent & Culture Team
A passion and enthusiasm to be part of a winning team
Proficiency, at an intermediate level, with computers and computer programs, including Microsoft programs
It would be advantageous in this position for you to demonstrate the following capabilities and distinctions:

Tertiary qualifications, or other collegiate-level degree, in Training or Human Resources
