Job Description
· Ensure smooth administration of the Sales Department to the standard required by the Hotel and follow up of assigned and “Walk-In” site inspections and in-house group arrangements
· Coordinate all internal and external correspondence, incoming e-mail, and other administrative duties for the Sales, Marketing & Magnifique Meetings team.
· Maintain complete and supported records of all sales agreements, contracts and quotes for the hotel as per Sofitel procedures and policies
· Provide a courteous, professional, efficient, and flexible service at all times, following Sofitel Dubai Downtown standards of performance, by e-mail, phone, or in person
· To be fully conversant with all services and facilities offered by the hotel
· Perform opening and closing procedures established for the Sales office
· Ensure that the Sales office and the surrounding area are kept clean and organized at all times
· Monitor operating supplies and reduce spoilage and wastage
· Utilize Opera for all accounts management functions and assist the assigned Sales Managers & Executives with the necessary follow-up when they are out on sales calls
· Ensure that the correct booking procedures are implemented, including group room and meeting program history, contractual agreements, room block analysis, etc.
· Coordinate with external partners to ensure the timely delivery of goods and services.
· Ensure that all sales contracts follow the established Hotel Policies and Procedures
· Support the team on day-to-day administration tasks like raising Travel Authorization forms, Expense reports, and coordinating tasks as required.
Qualifications
· Diploma or degree in vocational hospitality
· Previous experience in the related role within the hospitality industry is preferred
· Strong communication and interpersonal skills
· Proficient in Microsoft Office.
· Passion for the hospitality industry and a desire to be part of a top-tier team
· Excellent organizational skills and time management
· Languages: fluent in English
