Job description

Key tasks

Main Responsibilities:

• Maintain clear and easy to find reference/ filing system
• Ensure all correspondences are standardized and high quality remained
• Provide administrative support for the DOSM, Sales Managers & Sales Executive
• Carries out special project as assigned by Sales Manager and Sales Executive
• Ensure adequate stocks of office supplies and initiates requisitions for approval.
• Periodically update mailing address for existing corporate accounts and other database
• Monitoring system for attendance, annual leave, public holidays and sales calls.
• Prepares the Group Materialisation/Cancellation Report on a monthly basis.
• Takes full responsibility on updates of sales managers company details as provided.
• To provide weekly, monthly and annual reports if required.
• Assist in preparation of Corporate Agreements and group contracts.
• Assist in update and uploading production and contracts
• Attend daily line-ups and communicate daily challenges with the rest of the team.
• Ensures that sales personnels are updated with client enquiries and requests.
• Handles confidential documents, including accurate personnel file status of the department's employees, with strictest confidence.
• Assist on travel preparations and scheduling for DOSM & Sales Managers
• Works side by side with Sales Managers, F&B Coordinator, Reservations, Revenue and Front Office to make sure that group bookings and requests are met.
• Responsible of content generation and also manage all marketing/promotional/sales collateral development/production both off line and online and ensure that content is up to
date and relevant
• Manage brand compliance for the hotel to grow the equity of the hotel and AccorHotels brand across all channels
• Assist in the implementation of marketing programs and hotel reputation through all online channels of the hotels (websites, microsite, TripAdvisor, Social Media, and all
online relevant platforms available etc.)
• Coordinate with the organizations advertising PR and creative agency in planning and implementing promotional activities, advertising campaigns, etc.
• Maintain advertising files – correspondences, press releases, magazine advertising, etc
• Works with the Sales department to maximize partner relationships in market and develop links and special offers.
• To increase the hotel’s exposure in external communications networks, and build up a good working relationship with the national and local media.

Essential and optional requirements

- Desired candidate should have a minimum of 1 year experience in similar role.
- Must be computer literate with effective communication skills and an excellent command of written and spoken English.
- Should possess a strong character with a harmonious attitude to lead a multi-cultural team to reach the set goals of the department.
- The ideal candidate will be a hands-on professional with a passion for service quality and excellence.
- Outgoing, creative and eager to share the HEARTIST philosophy and AccorHotels values with guests and associates.
- A solid understanding of the use of a range of social media platforms, particularly in relation to advertising/branding and customers
- Good skills in design software (Adobe Photoshop & Adobe illustrator) and basic knowledge of video editing tools, will be added value
