Accounts Payable Assistant
To record and compile summaries of financial transactions of the business for management purposes.
To process all incoming purchase ledger invoices, coding appropriately and entering correctly within the acocunting system through completion. 
Accountable Duties
  • Maintain purchase order system.
  • Keep records of all purchase order numbers handed out.
  • Monitor all orders places and maintain paperwork.
  • Pass all purchase orders for authorisation and distribute relevant copies.
  • Monitor all suppliers and process.
  • Match all delivery notes with purchase orders and keep in delivery note file until the invoice is received.
  • Check all incoming invoices and agree to delivery notes and purchase orders.
  • Batch all authorised invoices and process for payment on a regular basis.
  • Ensure all commission invoices are checked and paid.
  • Check all statements: put batch numbers next to outstanding items and file in statement file.
  • Destroy previous statement.  Ensure copies are requested for all missing invoices and make a note of date requested and person spoken to on statement.
  • Deal with all supplier queries ensuring all invoice problems are dealt with within 24 hours.
  • Keep query file up to date at all times.  Keep delivery note file up to date at all times.
  • Keep all month end deadlines and ensure maximum number of invoices is batched before deadline.
  • Any other duties dependent on business demands.
  • Act in accordance with fire, health and safety regulations and follow the correct procedures when the situation arises.
  • To carry out additional tasks as instructed by the Finance Manager and reasonable request by the General Manager.

Applicants must be eligible to work in the EU or hold a valid work authorisation for the UK.
