JOB DESCRIPTION:

Description of Position
To provide assistance and support to the Marketing manager and other members of the Marketing department by handling day to day administrative tasks and contributing to the department projects.

Core job responsibilities:

1. OFFICE MANAGEMENT AND ADMINISTRATIVE AFFAIRS
1.1. Provide secretarial services involving word processing, filing, electronic mail, faxes and photocopying for the Marketing Manager and all members of the marketing department.
1.2. Responsible for ensuring that all incoming correspondences are distributed to the most appropriate person and ensure timely and close follow-up of incoming/ outgoing mails and courier.
1.3. Responsible for ensuring that all phone calls to the department are directed to the most appropriate person.
1.4. Responsible for maintaining appointment calendars for the marketing department.
1.5. Participate in and give administrative support to specific Marketing projects.

2. PLANNING AND ORGANIZING ARRANGEMENTS
2.1. Assist in organization of all meetings/ events.
2.2. Responsible for co-coordinating and minuting all department meetings.
2.3. Attends regular departmental meetings with manager to build in continuous feedback mechanisms.
2.4. Ensure that all travel arrangements are made with the approved travel agent and responsible for coordinating registration for congress and seminars for all members of the department.
2.5. Coordinate regular reporting of departmental goals for the Marketing Manager.
2.6. Coordinate regular departmental activity reports for the Marketing Manager.

3. 3. ARCHIVING AND FILE KEEPING
3.1. Establish document-tracking system for promotional material approval forms and printed materials and follow- up as per SOPs, maintain samples of marketing materials.
3.2. Archive all critical documents and establish a database and strong follow-up system for Marketing department Archives.

4. ADMINISTRATIVE SUPPORT TO DEPARTMENT PROJECTS AND TASK FORCES
4.1. Support Marketing department by handling necessary administrative tasks in department projects such as data entry to a database, file preparation, etc.
4.2. Participate to relevant task forces as Marketing Department Representative.

Scope :
- Contributes indirectly to the company's revenue
- Reports to the Marketing Manager.
- No positions reporting.

Expertise :
- Education: University degree (or last year student).
- Experience: at least 1 years of experience in a similar secretarial role.
- Fluency in English,
- Efficient Computer Skills (Word, Excel, PowerPoint).
