Job description

The Administrative Assistant is responsible for providing administrative support to a department or facility. The Administrative Assistant greets customers and answers or refers inquiries, prepares office documents, maintains and orders office supplies and equipment, coordinates department calendar, and performs other general office duties.

Your tasks and responsibilities

•Greets customers in person or by telephone; answers phone calls and responds to questions or inquiries; directs and screens calls to managers and members of department or facility.
•Creates and prepares business memos, letters and reports and presentation materials as needed; gathers necessary information and materials to complete these tasks.
•Maintains customer confidence and protects operations by keeping information confidential.
•Maintains office supply inventory by checking stock to determine inventory level; evaluates new office products; places and expedites orders for supplies; verifies receipt of supplies.
•Maintains department or manager's schedule by coordinating calendar for department personnel; arranges meetings, conferences, teleconferences and travel arrangements.
•Ensures operation of office equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
•Performs general office duties such as filing, faxing, copying and sorting.
•Other administrative projects and needed.

Your skills and experience

•Knowledge of general office policies and procedures.
•Software knowledge (i.e. Microsoft Word, Excel, PowerPoint, Access) and the ability to use the Internet and email.
•Excellent verbal and written communication skills.
•Proficient typing and data entry skills.
•Ability to establish priorities and accomplish multiple tasks.
•Excellent organizational skills.
•Ability to handle details and resolve problems.
