Job description

Summary:
The accounts payable clerk is responsible for the accurate coding and routing of all invoices, monthly rent payments, upload of Concur, Fed Ex and UPS. They process checks and wire transfers in a timely manner as well as reconcile store disbursements checks monthly. They maintain the vendor master, prepare soft and hard closes. Answer questions from finance as well as all stores.

Daily
· Receive, classify and scan invoices into Image Now.
· Verify vendor number, invoice number and date, amount of invoice.
· Prepare and verify E-form information and code invoices.
· Route invoices to approvers.
· Attend to vendor inquiries and Brand Controllers requests.
· Check error queues, correct errors and route invoices for approval.
· Check batch posting and release invoices.
· Scan and link invoices and payments under the Image Now “exception” protocol.
· Process emergency checks
· Train new users on how to process in Image now
· Perform other related duties, as assigned.

Weekly
· Prepare and submit Cash Requirements Report and invoices to be paid to Brand Controllers.
· Update CR Report and cut checks.
· Mail payments to vendors.
· Upload Concur, Fed Ex and UPS invoices
· Prepare wire transfers as well as manually close payments

Monthly
· Audit, reconcile and close store disbursements
· Process inventory invoices (Movex JDA)
· Perform AP soft closing per Brand's schedules.
· Perform Final AP Distribution and Period Closing and submit related closing reports to Controllers.

Desired profile

Qualifications :

Requirements
·  2-3 years experience in an AP function
·  Ability to understand general ledger accounts and be able to code invoices
·  Good knowledge of computer programs (Excel, Word, Lawson, Lotus 1,2,3)
·  Ability to multi task
·  Knowledge of basic skills in accounting: 10-key calculator, typewriter, fax machine and photocopier/scanner
·  Demonstrates a good record of work attendance
·  Ability to work well with other departments
·  Occasional overtime is required
